About the Role
• Advise on and support the effective implementation, oversight, and ongoing enhancement to the Group Case Management and Investigation Standard (CMIS), the Group Whistleblowing Standard (WBS), the Group Anti-Fraud Standard (AFS); and all supporting SOPs across AIA Group and BUs, including case management, governance reporting, oversight of business unit case matters; process applications for non-termination under the AFS , and stakeholder engagement• Work closely with Group Forensic Investigation Unit (FIU), Group Employee Relations and Business Units (BUs) stakeholders to promote consistency in interpretation and application of the Standards referred to above; and support the maintenance of robust governance and risk management practices.
• Oversee the CMIS system and revolve enquiries on usage and case management matters.
• Support the line manager and RC Management in all matters relating to whistleblowing and anti-fraud management, exercising sound judgment to work independently, managing issues proactively, and escalating significant, sensitive, or high-risk matters in a timely manner.
Roles and Responsibilities:
1. Case Management and Investigation Standard (CMIS)
- Support triage of cases in line with CMIS protocols, propose triage outcomes and support in the preparation of senior management communications (e.g. triage table with case details and recommended next steps)
- Prepare governance reports and management information
- Follow up on case management timelines and ensure proper records are maintained and updated;
Whistleblowing (WB)Case Management
- Monitor the WB hotline (email and system) to ensure timely management of cases;
- Review whistleblowing reports and assess allegations, draft responses to WB to seek information where required, or keep them abreast of case development
- Coordinate and support the end-to-end case lifecycle, including follow-ups with BUs / investigation teams and WBs.
- Advise on and support case assessment and recommend appropriate escalation and closure actions, with appropriate consideration of confidentiality and sensitivity.
- Handle all matters with a high degree of discretion, given the sensitive nature of whistleblowing cases; ensure cases are managed in accordance with Group standards, regulatory expectations, and confidentiality requirements.
3. Anti-Fraud Management and Coordination
- Track and monitor fraud cases escalated to Group, including investigation progress and outcomes.
- Support the review of non-termination / consequence management requests, providing recommendations.
3. Governance & Reporting
- Participate in the preparation of Group-level reporting, including:
- Quarterly ORC reporting
- ExCo dashboards
- Monthly management reporting
- Other ad-hoc MI requests
- Prepare and consolidate management information (MI), including data collation, validation, and analysis, to support reporting requirements
- Ensure reporting outputs are accurate, timely, and of high quality
- Assist in analysing trends, emerging risks, and control gaps across markets. Identify and document key observations and support management in action plans required to address the gaps/observations
4. Business Unit Oversight & Advisory
- Support BUs by providing guidance and advice on WBS, AFS, and CMIS practices.
- Monitor BU practices and escalate observations relating to consistency and adherence to Group standards where appropriate.
- Coordinate with Group and BU Risk & Compliance / Legal / FIU and Business Investigation Unit (BIU)/ HR stakeholders on case handling and programme matters.
5. Programme & Governance Framework Development
- Advise on and support the ongoing enhancement of WB and Anti-Fraud frameworks
- Advise on and support thematic reviews, benchmarking, and continuous improvement initiatives
- Support initiatives to enhance controls, processes, and governance practices
6. Awareness & Culture
- Support the planning and implementation of Group-wide awareness initiatives, including Speak-up campaigns, Training materials, videos, and communications
7. Stakeholder Management
- Engage and collaborate with stakeholders across Group and BUs
- Provide coordination across Risk& Compliance, Legal, HR, and FIU/ BIU and business/function teams as necessary
- Assist management in handling sensitive and complex matters as directed
Minimum Job Requirements:
- 4-7 years of experience in compliance, investigations, audit, legal, or risk
- Strong analytical, judgement, and case assessment skills with a strong awareness of risk and potential reputational implications
- Experience in handling sensitive matters and engaging with stakeholders across functions
- Experience in whistleblowing, investigation, or fraud risk management would be advantageous.
