Job Description

Job Requirements

We are looking for a highly motivated Sales Support / Customer Service Specialist (M/F) (Specjalista/ Specjalistka) to join our Warsaw Sales team. You will be responsible for managing the complete Customer Service from initial customer contact to final delivery to the customer, coordinating and conducting all administrative tasks. Your focus is to act as interface to the customer, communicating and interacting on a regular base with customers, Sales Team and Headquarters. You will manage the complete Customer Service and provide full office support. Start date: ASAP July/August 2026.


Your main responsibilities are:


  • Build customer loyalty in the Chemical Industry as interface to the customer
  • Communication with customers, providing Customer Services activities (information regarding status of the open orders, backlogs, price adjustments, samples)
  • Daily communication with Sales team, customers and HQ colleagues - marketing / supply chain/ logistics, proactive daily order tracking (SAP)
  • Manage the complete Customer Service from initial customer contact, support quotation, price maintenance, generation of order entry until final delivery to the customer
  • Analyzing the distribution channel best practice with the goal of achieving great customer satisfaction
  • Handle routine and non-routine customer order activities, including managing customer demand, take responsibility to receive and record customer complaints and facilitate the solution
  • Initiate corrective actions and take the lead to solve the issue for the custom
  • Maintain SCM - related contract details in appropriate tools (CRM, SAP, SharePoint, other)
  • Act as an interface of local business with sales representatives, logistic service providers and other related parties
  • Relay information on the market, customers and competition to the sales force and the headquarter
  • Provide office administration support, organize meetings, and coordinate operational tasks for the Warsaw office, including IT, facilities, mail, and courier services


Work Experience
  • Good level of general education with a Bachelors’ degree, or Professional degree in commerce, management or equivalent is a prerequisite
  • You should have 2-3 years of experience in a similar position within Customer Service and Supply Chain working in an international environment
  • You are recognized for your team spirit, your interpersonal, writing skills, and your thoroughness in complying with commercial regulations
  • You are autonomous and organized, efficient and you do not allow yourself to be overwhelmed by stress
  • You have sense of thoroughness, initiative and ability to work effectively with others in a fast-paced matrix environment
  • You are solution-focused with a simple and practical approach when executing
  • You have fluent written and spoken Polish and English language skills
  • You are proficient in Microsoft Office and has knowledge of SAP SD and MM
  • You have strong customer-facing skills, both by phone and by e-mail


Benefits

Compensation We offer competitive compensation packages, inclusive of a global bonus program and an individual bonus program (Sales Incentive Plan). Salary range: monthly gross salary 8700 PLN - 12 000 PLN, salary is the subject of mutual agreement based on skills and experience.
