What this role is all about

As an Executive Assistant at Infobip, you play a critical role in enabling our executive team to operate at their best. You act as a trusted partner to senior leaders, ensuring smooth day-to-day operations, strong prioritization, and clear communication across the organization. This role sits at the center of a dynamic, fast-paced environment and directly contributes to executive effectiveness and overall business productivity.

What you’ll do

  • Provide comprehensive administrative support to the executive team, including calendar management, meeting scheduling, travel coordination, and correspondence handling  
  • Manage communication on behalf of executives, including emails, calls, and other requests, ensuring timely, professional, and well-prioritized responses  
  • Actively manage priorities for executives, redirecting requests when appropriate and personally handling sensitive or time-critical matters  
  • Keep executives informed of urgent topics and ensure consistent follow-up on key actions and decisions  
  • Organize and maintain electronic and physical documentation with a high level of accuracy, confidentiality, and discretion  
  • Attend meetings, take structured minutes, and prepare clear summaries to support alignment and execution  
  • Serve as a communication bridge between executives and other functions, optimizing information flow and improving efficiency for all stakeholders  
  • Support the organization and execution of corporate events, conferences, and executive meetings  
  • Collaborate closely with cross-functional teams to support ongoing initiatives and projects  
  • Leverage AI tools and digital solutions to improve efficiency, automate routine tasks, and enhance executive productivity

What makes you a strong fit

  • Bachelor’s or Master’s degree in Business Administration, Management, or a related field  
  • Excellent verbal and written communication skills, with strong attention to detail  
  • Proven organizational and time-management skills, with the ability to handle multiple priorities effectively  
  • High level of professionalism, discretion, and ability to handle confidential information  
  • Proactive, open-minded, and solution-oriented mindset, with the confidence to suggest new ideas, improvements, and initiatives  
  • Demonstrated willingness to take ownership, anticipate needs, and act without waiting for detailed instructions  
  • Comfort using AI-powered tools and digital assistants in daily work, with curiosity to explore new technologies and ways of working  
  • Strong problem-solving skills and a hands-on approach to overcoming challenges  
  • Comfortable working in a fast-paced, dynamic environment, showing adaptability and resilience  
  • Confident user of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual communication platforms  
  • Collaborative team player who enjoys working across functions and supporting others
