Overview

Colliers Engineering & Design is seeking a Workplace Services Assistant to support our growing team in Holmdel, NJ. The Workplace Services Assistant will support the Workplace Services team with office relocations, renovations, space setups, and day to day operational needs. This role is hands on and requires someone who is reliable, organized, safety conscious, and comfortable working both independently and as part of a team. The ideal candidate enjoys problem solving, physical work, basic technical tasks, and contributing to a smooth, efficient, and safe workplace for employees.


Responsibilities

Office Relocations & Expansions:

  • Assist in planning, preparing, and executing office moves, workstation reconfigurations, and space renovations.
  • Disassemble, relocate, and reassemble office furniture, equipment, and fixtures.
  • Move boxes, supplies, and office materials safely between locations.
  • Support walkthroughs of new and renovated spaces to ensure readiness.
  • Maintain clear communication with Workplace Services regarding timelines, progress, and issues during moves.

Workspace Setup and Maintenance:

  • Set up workstations, conference rooms, shared spaces, and equipment as needed.
  • Perform light repairs, adjustments, and general troubleshooting using basic tools.
  • Monitor cleanliness, organization, and safety standards within offices.
  • Support vendor access and escort contractors when required.

Operational Support and Administration:

  • Maintain inventory of tools, supplies, and asset lists related to workspace setups.
  • Assist with data entry for relocation logs, project trackers, and equipment lists.
  • Review contracts, quotes, and vendor estimates for accuracy; support cost comparison exercises.
  • Use email, calendars, and collaboration tools to communicate with internal teams and vendors.
  • Document completed work, issues, and project progress.

Qualifications

  • 0-2+ years of experience in workplace services, interior design, facilities coordination, or a related field.
  • Experience in facilities, workplace services, moving/installation, or building operations.
  • Basic knowledge of office layouts, space planning, or ergonomics.
  • Familiarity with safety practices related to lifting, tools, and office moves.
  • Demonstrate general computer skills, knowledge, and acumen (i.e., Microsoft Office Suite) including email communication, calendar scheduling, data entry, and reviewing quotes or contracts.
  • Strong attention to detail.
  • Strong organizational skills with the ability to prioritize and multi-task.
  • Excellent verbal and written communication skills.
  • Ability to work independently and follow instructions with minimal supervision as needed.
  • Ability to lift up to 50 pounds safely.
  • Ability to be on feet for extended periods and perform physical tasks.
  • Ability to use hand tools and basic equipment (screwdrivers, drills, wrenches, etc.).
  • Experience with furniture assembly and light repairs.
  • Onsite role with moderate physical activity.
  • Travel required, instate and out of state.
  • Occasional early mornings, evenings, or weekend hours during major relocations.
  • Collaborative team environment with regular interaction with employees, vendors, and leadership.
  • Ability to read, write and understand English for purposes of comprehending written job-related communications and verbal instructions and interactions.

Compensation: $20.14 to $26.44 per hour (depending on qualifications)
