We are looking for a Workplace Manager who creates a seamless and engaging office experience.
You will ensure smooth daily operations across facilities, vendors, and workplace services—while managing safety, events, and employee experience. From coordinating office needs and business travel to supporting onboarding and wellbeing initiatives, you’ll play a key role in shaping our workplace culture.
We’re looking for someone proactive, organized, and detail-oriented, with experience in workplace or facilities management, strong communication skills, and a hands-on, solution-focused mindset.
Required Knowledge and Skills:
Experience in office/facilities management, maintenance, and security.
Ability to liaise with landlords, building management, and vendors.
Basic knowledge of workplace systems (e.g., CCTV, access control).
Manage service providers and ensure quality delivery.
Experience with procurement, contracts, and budget tracking.
Knowledge of OHS standards and workplace safety.
Experience with drills, training, and risk prevention.
Strong organization and multitasking skills.
Experience with events, meetings, and travel logistics.
Focus on workplace culture and engagement initiatives.
Support onboarding and employee experience activities.
Strong communication and stakeholder management.
Solid administrative and documentation skills.
Basic branding/content creation skills.
Proficiency in MS Office and workplace tools.
Proactive, reliable, solution-oriented, and detail-focused.
Key Responsibilities:
Ensure excellent workplace experience and manage facility and security matters, reception desk, acting as a liaison with the landlord, building service, and overseeing CCTV operations.
Serve as the main point of contact for service providers related to office maintenance (cleaning, food service, greenery, archive, telco, etc.).
Procure office supplies, equipment, mobile phones, furniture, and promotional materials.
Organize key on-site meetings and coordinate company events and employee benefits.
Support business trips by arranging accommodations, transport, and meeting logistics.
Ensure health, safety, and security standards, including OHS, fire drills, first aid training.
Lead Wellbeing & Green Office initiatives, including seasonal office decorations.
Support company branding initiatives, create and manage social media content.
Collaborate with the People Partner to support employee onboarding and ensure a smooth integration experience.
The starting salary for this position is €1,900 gross per month. The final offer will be determined fairly, based on your experience, and alignment with the role’s requirements.
