About the Job
Our Marketing and Business Development group is growing as our company embarks on an ambitious growth plan to meet evolving client needs in the areas of environment, natural resource, climate change, and sustainability consulting. We are currently seeking an experienced assistant proposal manager who will support our efforts to build and submit proposals and support and lead proposal development efforts across all areas of the company. As an Assistant Proposal Manager, you will manage proposals, statements of qualifications, responses to requests for proposals (RFPs), and marketing collateral in support of the business development activities of our scientists, engineers, economists, and planners.
This position may offer in-office, remote, or hybrid opportunities based on the candidate’s location and the needs of the organization.
Responsibilities
As an Assistant Proposal Manager, your job functions will include, but not be limited to:
- Leading the development, coordination, and successful submission of proposals and qualification packages across all service areas.
- Coordinating with internal staff and external collaborators to ensure timely, high-quality contributions, reviews, and approvals.
- Ensuring compliance with RFP requirements and client instructions with high pressure deadlines.
- Compiling evidence of experience, project descriptions, resumes, documents, and other assets from multiple information sources.
- Contributing proposal writing, editing, and document flow to ensure consistency in messaging, tone, and brand consistency.
- Advising staff on revisions or additions that increase the competitiveness of proposals.
- Managing geographically disparate teams.
- Completing government forms, client questionnaires and qualifying statements on behalf of the organization.
- Coordinating proposal layouts, graphics, tables, and visual presentation materials, including collaborating with internal or external graphic designers as needed.
- Editing, maintaining, and improving existing business development materials that highlight the firm's expertise, experience, and innovation across all service areas and technologies.
- Developing new business development materials for strategically important services areas and technologies.
- Maintaining a library/database of project descriptions, service area descriptions, other text, and multimedia assets useful for proposals and business development ends.
- Maintaining accurate proposal status reports in CRM system.
Qualifications
The ideal candidate will have:
- A bachelor’s degree in marketing, communications, English, journalism, graphic design, or business
- 5+ years of proposal development experience within a professional services environment
- Excellent writing, organizational, and communication skills
- Ability to prioritize and manage several projects simultaneously
- Ability to work both strategically and hands-on in a fast-paced environment
- A strong eye for document design, layout, and visual communication
- Advanced experience with Adobe Creative Suite (especially InDesign and Illustrator)
- Experience with SharePoint and Microsoft 365 collaborative documents
- Experience with Deltek Vantagepoint
- A desire to grow both intellectually and professionally
- Strong organizational abilities
- Ability to work both independently and within a multidisciplinary team of scientists and engineers
- Ability to manage full-time staff additions to the proposals team
Compensation is commensurate with experience and internal equity, within the listed range. An employee’s total compensation package includes annual salary; company-subsidized (employee and family) medical, dental, and vision insurance; 401(k) participation with a company match of 1% to 4% of annual compensation; company-paid life and short- and long-term disability insurance; paid sick leave (10 days), paid vacation (18 days), and paid holidays (9 days); and the potential for an annual discretionary bonus based on company performance. Paid time off will be prorated to reflect part-time scheduled hours, if applicable.
