Position Summary
The Senior / Lead Wellness Coordinator (WC) serves as the primary operational leader within the clinic, supporting both the doctors and Wellness Coordinators. This role bridges front-desk execution and clinic leadership by ensuring daily operations run smoothly, standards are upheld, and performance expectations are met across all clinics.
As a Senior/Lead WC, you are a trusted leader, culture carrier, and point of escalation for patients and staff. You play a key role in supporting clinic performance, coaching Wellness Coordinators, and executing company policies while maintaining a high-volume, patient-centered environment.
This position is a graduated role designed for experienced administrators ready to take on increased responsibility without full managerial authority.
Key Responsibilities
Clinic Leadership & Oversight
- Act as the on-site lead during assigned shifts, ensuring smooth clinic operations
- Serve as the first point of escalation for patient concerns, staff questions, and workflow issues
- Support and reinforce clinic policies, procedures, and standards set by Corporate, PPTC, and management
- Assist the other Wellness Coordinators in executing operational initiatives and clinic goals
Team Support & Coaching
- Mentor, guide, and support Wellness Coordinators in daily responsibilities
- Assist with onboarding and training of new Wellness Coordinators
- Model professionalism, efficiency, and customer service excellence
- Provide real-time coaching on sales conversations, patient experience, and clinic flow
Performance & Accountability
- Support daily and monthly clinic performance goals (memberships, packages, retention, and service quality)
- Monitor front desk execution and help correct gaps in performance
- Ensure accuracy of member accounts, POS transactions, and documentation
- Communicate trends, challenges, and opportunities to the Office Manager
Patient Experience & Sales
- Deliver an exceptional, welcoming patient experience
- Educate patients on wellness services, memberships, and packages
- Confidently present and close membership and package sales
- Maintain strong patient relationships and retention
Administrative & Operational Duties
- Manage clinic phone calls and walk-ins
- Complete transactions using POS software
- Maintain clinic cleanliness, organization, and brand standards
- Ensure proper execution of doctor protocols and clinic flow

Qualifications & Skills
- Proven experience as a Wellness Coordinator or similar front-office healthcare role
- Demonstrated leadership, reliability, and accountability
- Strong sales aptitude with the ability to coach others
- Excellent communication and problem-solving skills
- Ability to multitask in a high-volume environment
- Professional appearance and positive demeanor
- Comfortable working weekends and evenings as required
- Ability to stand/sit for extended periods and lift up to 50 lbs
- High School Diploma or equivalent
- Proficiency with Microsoft Office and clinic POS systems
