Description
This role is responsible for maintaining an efficient and welcoming office environment, coordinating office services, liaising with vendors, and handling key operational tasks such as office supplies, workspace organisation, and event logistics. We are seeking a proactive and detail-oriented individual who thrives in an autonomous role, enjoys problem-solving, and is eager to make a meaningful impact in a professional services environment. Key Responsibilities
- Manage the day-to-day operations of the office, ensuring a well-maintained, efficient, and productive work environment.
- Manage all facility-related needs, proactively identifying and resolving maintenance issues, including coordinating with third-party service providers.
- Maintain optimal office and kitchen supplies, ensuring staff have the necessary resources to work effectively.
- Build and manage relationships with suppliers and service providers, negotiating contracts and ensuring high-quality service delivery.
- Plan and coordinate staff events, including socials, offsites, and Christmas celebrations, to foster team engagement and morale.

- Ensure compliance with operational policies and procedures, educating staff on best practices for expense management, travel bookings, and meeting room usage in coordination with central teams.
- Act as the central point of contact for all office operations, collaborating with key departments such as People & Culture, Finance, and IT to support office needs.
- Provide administrative support as needed, including scheduling meetings, booking travel, handling mail and shipments, and coordinating printing and documentation.
What we are looking for

- Previous experience in operational functions such as HR, finance, legal, or business administration.
- Excellent organizational, coordination, and time management skills, with strong attention to detail and clear, effective communication.
- Proactive and self-motivated, able to work independently, take initiative, and troubleshoot issues with confidence.
- A genuine passion for working with people and a willingness to go beyond the defined job description to support the success of the office.
- Excellent IT skills (Word, Excel, Outlook, and PowerPoint)
- Written and spoken fluency in French (C2 level)
- Proficiency in English (C1 level)
