Job Description

Job Summary

The Graduate Student Assistant supports daily clinic operations by managing client communication, scheduling, payment processing, and routine administrative tasks. This role ensures a welcoming and efficient front desk environment and provides essential support to the CCEC Summer Coordinator and Administrative Specialist.

Job Description

Key Duties

  • Answer phones and provide customer service.
  • Conduct telephone screenings and initial case assignment steps as directed.
  • Schedule appointments and communicate changes to CITs.
  • Check and respond to CCEC voicemail and email.
  • Process credit card payments; verify online payments and allocate them in Titanium.
  • Prepare and send daily payment reconciliation reports.
  • Approve incoming Titanium data forms and verify intake completion.
  • Update client information and document communication in Titanium.
  • Greet clients and provide parking passes.
  • Maintain lobby, workroom, and clinic readiness.
  • Manage room schedules and conference room reservations.
  • Maintain client files and prepare copies of forms.
  • Sort and distribute mail.
  • Perform other duties as assigned.

Additional Job Description

Required Qualifications:

  • Enrolled as a degree seeking student at Florida Gulf Coast University at time of hire and throughout the appointment.
  • Must be currently enrolled in the Clinical Mental Health Counseling Program at Florida Gulf Coast University
  • Be in good conduct standing with the University
  • Ability to maintain confidentiality and handle sensitive information

Preferred Qualifications:

  • Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, PowerPoint, and Outlook).

Knowledge, Skills, and Abilities:

  • Strong verbal and written communication skills to effectively interact with clients and team members.
  • Ability to handle multiple tasks simultaneously and prioritize responsibilities to ensure efficient workflow.
  • Present a professional image in word, action, and attire.
  • Demonstrate the ability to respond to supervision, guidance, and direction in a positive, receptive manner and in accordance with states policies.
  • Ability to handle sensitive client information with confidentiality and professionalism.
