POSITION OVERVIEW
The Executive Assistant II (EA II) is an experienced administrative professional who provides advanced administrative and operational support to senior leaders while helping bridge tactical execution and emerging strategic support. This role manages complex calendars, office operations, and small to medium-scale projects, and plays an active role in improving administrative processes that enhance executive effectiveness and organizational efficiency.
Operating within a centralized administrative team model, the EA II contributes to cross-functional initiatives, supports executive communications, and helps implement and iterate standardized workflows across offices and teams. This position requires strong judgment, discretion, and initiative, and offers opportunities for professional growth, increased responsibility, and meaningful impact within a mission-driven, multi-state financial institution.
ESSENTIAL DUTIES
Executive & Office Operations
Act as an operational bridge between executive leadership and daily business operations by anticipating evolving priorities and proactively coordinating schedules, meetings, and logistics, aligning daily work and priorities with executive goals and key performance indicators while tracking progress and outcomes
Manage complex calendars, travel arrangements, and expense reporting for multiple senior leaders, managing multiple concurrent priorities with minimal supervision while maintaining accuracy, responsiveness, and confidentiality
Support office operations by coordinating resolution of facilities issues, managing office supplies, and ensuring equipment readiness to maintain a professional work environment, demonstrating professionalism, credibility, and service-oriented mindset in representing the executive office
Coordinate onboarding and offboarding logistics with increased autonomy, ensuring seamless transitions while applying strong ethical judgment and integrity when handling sensitive and confidential information
Serve as a reliable backup to the Executive Assistant III or Chief Executive Assistant
Administrative & Project Coordination
Coordinate small to medium-scale projects and events, tracking timelines, deliverables, and budgets, proactively identifying and solving complex problems using analytical thinking, sound judgment, and creativity
Prepare, edit, and format executive-level correspondence, reports, and presentations that support informed decision-making and strategic communication
Provide logistical and administrative support for board of directors’ meetings, including preparing materials, coordinating schedules, and supporting hospitality logistics
Coordinate communications and logistics with external partners, vendors, and stakeholders, building strong working relationships across teams and functions through clear communication and collaboration
Process Improvement & Cross-Functional Support
Identify, implement, and document improvements to administrative workflows and standardized processes, embracing best practices and continuous improvement to enhance efficiency and consistency
Participate in cross-functional initiatives and organization-wide projects, representing the administrative function and supporting successful execution
Share best practices and provide coverage across the Executive Assistant team to maintain continuity of operations and consistent service delivery
Complete required compliance training timely
Perform position-specific responsibilities and other duties as assigned in support of executive operations and organizational objectives
Technology & Digital Enablement
Champion adoption of advanced digital and AI-enabled tools (e.g., workflow automation, automated expense reporting, meeting transcription), embracing continuous learning and new technologies to improve individual and team effectiveness
Identify opportunities for technology-enabled process improvements and collaborate with cross-functional partners to pilot and refine solutions
Train and support colleagues in the effective use of new tools and technologies, promoting digital readiness and continuous improvement

The incumbent is in a non-confined office-type setting in which they are free to move about at will. It may include some minor annoyances such as noise, odors, drafts, etc. For Hybrid and Remote roles, work may also be performed away from BSB worksites depending on the position and requirements. For Hybrid/Remote work, employees are required to have an environment when working at home that has a dependable, high-speed internet connection and environment conducive to frequent phone or internet calls where private, confidential or other information is not visible, able to be overheard, or physically or electronically accessible to anyone else.
The incumbent in the course of performing this position spends time writing, typing, speaking, listening, lifting (up to 10 pounds), driving, carrying, seeing (such as close, color and peripheral vision, depth perception and adjusted focus), sitting, pulling, walking, standing, squatting, kneeling and reaching.
The incumbent for this position may operate any or all of the following: personal computer, cellular telephone, printer, and other standard office equipment.

POSITION REQUIREMENTS
Minimum Qualifications
High School Diploma or equivalent
Five (5) or more years of relevant professional administrative or office support experience
Experience supporting senior leaders in a professional environment
Working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and collaborative tools such as SharePoint and OneDrive; skills assessment required
Ability to manage multiple tasks, projects, and priorities with professionalism, discretion, accuracy, and timely follow-through
Strong communication, organizational, and collaboration skills
Ability to travel domestically as required to support meetings, trainings, or events

Preferred Qualifications
Associate degree or equivalent coursework
Six (6) or more years of relevant professional experience
