Job Description

Title: Receptionist

Location: Wellness Center - 12360 E Burnside St., Portland, OR 97233

Schedule: This is an in-person position, Monday through Friday, 8:00am - 5:00pm. Occasional weekend coverage is required on a rotating basis, approximately one Saturday every three months.

Wage Range: $21.00 – $25.00 hourly, Non-Exempt

Position Overview:

The Receptionist provides administrative support to the Wellness Center staff; greets and directs patients; collects patient registration and update packets and checks them for completeness; answers phones and returns messages; schedules appointments for multiple providers; performs data entry in the EHR; collects fees and co-pays; makes outreach calls to clients who need services; and performs other duties as assigned.

This is a key role in which you will set the tone for the client’s visit and assist them with other needs. A warm, calm, service-oriented communication style is essential. Attention to detail and follow through are also critical.

 

What you will do:

  • Greet clients and check them in for appointments, ensuring paperwork is complete and up to date.

  • Communicate with medical teams, providers, and other staff regarding patient needs and schedule changes.

  • Answer multi-line phone system, direct calls, take messages.

  • Arrange transportation when needed for clients.

  • Schedule interpreters for clients as needed.

  • Schedule client appointments in the EHR, following scheduling guidelines and requirements.

  • Perform data entry and general office support as assigned.

  • Conduct outreach calls to clients who need to be scheduled for overdue or new services.

  • Participate in safety and security initiatives.

  • Communicate as needed with other departments across the organization.

  • Verify insurance coverage for clients.

  • Maintain full provider schedules and scrub schedule in advance to ensure preparedness for the visit.

  • Reconcile invoices for taxi fare, bus passes, and interpretation services.

We would like to hear from people that have:

  • Either High School Diploma or General Educational Development (GED) certification required.

  • At least one year’s experience working in an office setting including operating a multi-line phone.

  • Experience working within the Native American/Alaska Native community preferred

  • Experience in medical office setting and/or social service agency and familiarity with medical terminology preferred.

  • Experience working in an alcohol and drug addiction program preferred.

  • Understanding of 12-step philosophy preferred.

  • Ability to type 50 words per minute with accuracy.

  • Requires superior organizational, multi-tasking, and prioritization skills.

  • Effective written and oral communication skills.

  • Current CPR certification or ability to become certified within 30 days of hire. (The company will provide training.)

  • Exhibit professional is and maintain healthy boundaries with clients and staff members.

  • Must pass a pre-employment or for cause drug tests.

  • Must pass criminal and DMV background checks.
