Job Description

Summary Statement:

The Administrative Specialist II - Entertainment will perform a wide range of administrative and office support activities for the Entertainment department Executives to facilitate the efficient operation of the department.

Primary Job Duties: – Includes but is not limited to:

  • Perform general clerical duties in support of department executives.
  • Prepare and modify documents, such as reports, drafts, memos, and emails.
  • Manage entertainment calendars and schedules.
  • Arrange meetings in support of department executives.
  • Arrange travel & lodging in support of department executives.
  • Participate in short- and long-term planning aligned with goals set by executives.
  • Communicate information quickly and succinctly, being responsive is a must.
  • Work with all RWLV departments, partners, and stakeholders.
  • Coordinate and communicate with vendors, consultants and organizations as required.
  • Liaison between Entertainment and other internal business units. (Special Events, Sales, F&B, etc.).
  • Obtain and maintain position-specific licensing.
  • Use personal device/cellular phone for job related operational tasks, job duties, review of company documents, etc.
  • Perform other job-related duties as requested.

Qualifications: – Includes but is not limited to:

  • At least 6 months of administrative office experience.
  • Previous experience with principles and practices of office management.
  • Strong knowledge and familiarity with Outlook, Teams, Excel, Word, and PowerPoint.
  • Superb organizational and communication skills.
  • Ability to complete multiple tasks in a fast-moving environment.
  • Capable of meeting deadlines and working with daily time constraints.
  • Polished appearance and demeanor.
  • Excellent customer service skills.
  • Ability to work varied shifts, including nights, weekends, and holidays.
  • Ability to effectively communicate in English, in both written and verbal.
  • Ability to obtain and maintain full knowledge and understanding of company and department rules and regulations, policies, and procedures.

Preferred

  • At least one year of production and entertainment industry experience.

Minimum Education and Experience:

  • Bachelor's degree or equivalent experience.
  • Must be 21 years of age.

Preferred:

  • Previous experience with systems such as Hot SOS, Kronos, and AXS Ticketing.
  • Previous experience working in a large, luxury resort setting.

Certificates, Licenses, Regulations:

  • Proof of eligibility to work in the United States.
  • Position required licenses.

  • Eye/hand coordination.
  • Ability to comply with Policies and Procedures, Job Description, daily memorandums, chemical labels (SDS) and other instructions.
