Pay Range: $22 - $25 per hour
Summary:
Under direction the direction of the HR Manager, the Payroll Specialist is responsible for accurately processing payroll, maintaining employee payroll records, and supporting payroll-related administrative functions for BGDC Distribution. This position ensures timely and accurate payroll processing, maintains compliance with company policies and applicable regulations, assists with benefits administration and accounts payable activities, and serves as a resource for employees and managers regarding payroll and timekeeping matters. The Payroll Associate must maintain a high level of confidentiality, accuracy, and customer service while supporting the overall goals of the Human Resources and Finance teams.
Essential Functions:
Under direction the direction of the HR Manager, the Payroll Specialist is responsible for accurately processing payroll, maintaining employee payroll records, and supporting payroll-related administrative functions for BGDC Distribution. This position ensures timely and accurate payroll processing, maintains compliance with company policies and applicable regulations, assists with benefits administration and accounts payable activities, and serves as a resource for employees and managers regarding payroll and timekeeping matters. The Payroll Associate must maintain a high level of confidentiality, accuracy, and customer service while supporting the overall goals of the Human Resources and Finance teams.
Essential Functions:
- Process weekly and bi-weekly payroll accurately and timely, including wages, deductions, incentive pay, and adjustments.
- Review, verify, and reconcile employee timekeeping records, attendance data, and payroll information prior to payroll processing.
- Identify, investigate, and resolve payroll discrepancies and errors.
- Maintain accurate employee payroll records, including new hires, transfers, status changes, tax withholding elections, and separations.
- Process payroll-related adjustments including retroactive pay changes, corrections, and deductions.
- Prepare payroll reports, summaries, and supporting documentation for management review.
- Respond to employee and manager inquiries regarding payroll, timekeeping, taxes, deductions, benefits, and pay-related matters.
- Process and maintain benefit-related records and documentation, including retirement plans, unemployment claims, and medical insurance information.
- Assist with accounts payable processing, invoice administration, and payment tracking.
- Maintain electronic and physical filing systems for payroll, benefits, and administrative records.
- Ensure payroll records are maintained in compliance with company policies and applicable federal, state, and local regulations.
- Support payroll audits and provide requested documentation as needed.
- Protect confidential employee and company information at all times.
- Follow attendance policies and report to work as scheduled and prepared to perform assigned duties.
- Perform other duties and responsibilities as assigned to support departmental and company objectives.
Qualifications & Experience
- Minimum of one (1) year of payroll, accounting, human resources, or administrative experience required.
- Experience processing payroll in a multi-site, warehouse, manufacturing, or distribution environment preferred.
- Working knowledge of payroll practices, wage and hour regulations, payroll taxes, and benefit deductions preferred.
- Experience utilizing payroll systems, HRIS platforms, and timekeeping systems preferred.
- Strong attention to detail with the ability to identify and resolve discrepancies accurately.
- Ability to work effectively in a fast-paced, deadline-driven environment.
- Strong organizational, analytical, and problem-solving skills.
- Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
- Excellent verbal and written communication skills.
- Strong customer service skills with the ability to interact professionally with employees at all levels of the organization.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Ability to work independently while managing multiple priorities and deadlines.
Education & Certifications
- High School Diploma or GED required.
- Associate Degree in Accounting, Business Administration, Human Resources, Finance, or a related field preferred.
- Payroll-related certifications such as Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) are a plus.
- Experience with payroll, HRIS, and timekeeping systems preferred.
- Equivalent combination of education, training, and experience may be considered.
Pay Range: $22 - $25 per hour
