We're looking for an exceptional Executive Assistant to support one of Telstra Enterprise's most senior leaders during an exciting period of growth, transformation and strategic change.

This is not a traditional Executive Assistant role.

Supporting a large and complex organisation of approximately 2,500 team members across service and delivery functions, you'll operate as a true business partner, helping to drive executive effectiveness, prioritisation and strategic outcomes. You'll work alongside a highly respected executive leader who is balancing major transformation programs while leading a large operational function, requiring an EA who can think ahead, make informed decisions, and operate with confidence and autonomy.

The Opportunity

As Executive Assistant, you will play a critical role in enabling executive success through proactive planning, prioritisation, stakeholder management and operational support.

This role goes well beyond traditional diary and administrative support. You'll be a trusted partner who understands business priorities, anticipates challenges, and helps create the space required for strategic leadership.

Your responsibilities will include:

Executive & Calendar Management

  • Managing a highly complex, high-volume executive calendar with competing priorities and constant change

  • Making independent decisions on meeting prioritisation, scheduling conflicts and competing business demands

  • Proactively identifying and resolving calendar clashes weeks in advance

  • Liaising extensively with internal and external stakeholders, including senior leaders and Executive Assistants across the business

  • Protecting executive time by ensuring focus remains on the highest-value priorities

Strategic Planning & Coordination

  • Supporting long-term planning across annual, quarterly and sprint-based business cycles

  • Maintaining visibility of key business priorities, strategic initiatives and operational commitments

  • Preparing briefing materials, reports, presentations and documentation to support executive decision-making

  • Coordinating leadership meetings, offsites, town halls and strategic events

Inbox & Communication Management

  • Proactively managing executive communications and email triage

  • Responding on behalf of the executive where appropriate

  • Identifying urgent matters, tracking actions and ensuring follow-through

  • Managing competing priorities and reducing executive workload through strong ownership and judgement

Stakeholder Engagement

  • Building trusted relationships across Telstra's leadership community and Executive Assistant network

  • Managing interactions with senior internal and external stakeholders professionally and confidently

  • Exercising influence, judgement and discretion when coordinating across multiple teams and priorities

Operational Excellence

  • Managing travel arrangements, expenses, procurement and administrative activities

  • Supporting governance activities, meeting coordination and action tracking

  • Ensuring confidentiality and professionalism at all times

What We're Looking For

This opportunity requires an Executive Assistant who operates at a strategic level and is comfortable making decisions in a highly dynamic environment.

You'll Bring:

Strategic Thinking & Business Acumen

  • Strong understanding of how large organisations operate

  • Ability to understand business priorities and make informed decisions without requiring constant direction

  • Experience supporting senior executives through periods of transformation, growth or organisational change

  • Ability to anticipate needs and think several steps ahead

Advanced Executive Support Experience

  • Significant experience supporting senior executives within large and complex organisations

  • Demonstrated experience managing highly complex calendars with competing priorities

  • Proven ability to prioritise, negotiate and influence outcomes in high-pressure environments

  • Experience operating autonomously and exercising sound judgement

Exceptional Communication Skills

  • Outstanding written and verbal communication skills

  • Confidence engaging with senior leaders and stakeholders

  • Ability to build trusted relationships across all levels of an organisation

  • Strong stakeholder management and influencing capability

High Ownership & Resilience

  • A proactive and solutions-focused mindset

  • Comfortable operating in a fast-paced, high-energy environment

  • Ability to remain calm under pressure and manage competing priorities

  • Strong attention to detail without losing sight of the bigger picture

Technical Capability

  • Advanced proficiency across Microsoft Office Suite, Teams and collaboration technologies

  • Strong ability to adapt quickly to new tools, systems and ways of working

Location

This role is based in Melbourne.

While occasional travel may be required for leadership offsites or business events, regular travel is not expected.
