Summary of Essential Duties:
- The Materials and Vendor Services Coordinator oversees the day-to-day product inventory operations for designated areas.
- Collaborates with medical, research and/or nursing staff and all areas of Support Services including, but not limited to Central Issues, Purchasing, Warehouse, Receiving, Billing, Processing, Clinical Engineering and information systems.
- Responsible for inventory functions and product and/or accounting discrepancies as a result of those functions.
- Provide daily operational analysis through maintenance of automated information systems.
- Recommends inventory consumption control measures.
- Responsible for determining usage, lead time, safety stock, minimum and maximum quantity for all inventory as assigned.
- Responsible for sourcing and procurement of all supplies and material needed for assigned area.
- Work with external vendors and representatives on delivery of items and storage requirements.
- Forecasts inventory utilization based on standard acceptable par level.
- Ensure inventory is available to fill department’s supply needs. Monitors and follows established par levels based on utilization and projected changes in caseload mix. Performs inventory counts of medical, surgical, and/or other supplies maintained in all department areas including restricted areas, clean utility rooms, medication rooms, nurse servers, and anesthesia workrooms.
- Coordinate between vendors, purchasing department, and accounts payable (AP) on maintaining a strong relationship to not disrupt day to day operations.
- Maintain communication with vendor on product delivery and research for item substitution and replace of needed materials.
- Interacts with physicians, nurses, laboratory, and other departmental staff to pinpoint and resolve all departmental supply issues.
- Coordinates with vendor(s) sourcing of specialty items, implants, consignment, and other needs for the department, including resolving vendor discrepancies, wrong items sent, and late delivery.
- Pull all implants needed for day to day cases to prevent any surgical delays.
- Works with Blood Bank/Tissue bank on ordering regulated tissues such as Human Tissue, Live Tissue, Gestational Tissue, Bone Tissue and Musculoskeletal tissue for daily surgical procedures.
- Evaluates operational systems to streamline activities, facilitates inventory flow from vendor to warehouse to inventory area to maximize productivity. Works with purchasing, receiving, and accounts payable to resolve product and/or accounting discrepancies.
- Rotates stock to avoid expiration, removes expired inventory and reviews inventory for obsolescence and arranges exchange or donation.
- Maintains an organized, safe, and efficient work area.
- Coordinates all physical inventory activities. Responsible for all inventory counts of stock and non-stock items.
- Main point of contact for all supplies and material needs between the clinical staff and the vendor.
Education:
- High School Diploma or GED required
- Associate's Degree/College Diploma preferred
Experience:
- A minimum of 3 years of experience in a hospital, Materials Management, Shipping/Receiving/Distribution or other customer service-related field required
- Hospital inventory experience preferred
- Computer literacy in word processing and spreadsheet applications required
