Job Description

The Director of Clinical Education Operations – MGE provides strategic leadership and operational oversight for all clinical education operations supporting medical students during their clinical training years. This role ensures the successful coordination of clinical rotations, student progression, compliance with accreditation standards, and effective management of clinical education systems. The Director oversees Senior/Assistant Directors of Clinical Education Operations who manage Clinical Student Administrators responsible for clinical scheduling, student advising, and clinical rotation coordination. The Director ensures operational consistency across teams while supporting institutional goals related to student success, accreditation compliance, and clinical training capacity. This position collaborates closely with academic leadership, hospital partnerships teams, and institutional departments to ensure clinical education programs operate efficiently and meet all regulatory and accreditation requirements. This role reports to the Chief Enrollment Services and Student Operations Officer. Key Responsibilities Strategic Leadership and Program Oversight Provide strategic leadership for clinical education operations supporting third- and fourth-year medical students. Responsibilities include: Oversee operational management of clinical rotation scheduling and student placement across all clinical programs. Ensure students are scheduled appropriately to meet academic requirements and graduate on time. Develop operational strategies that support student progression, clinical capacity management, and institutional growth. Ensure operational alignment with institutional goals and academic program requirements. Team Leadership and Organizational Management Provide leadership and supervision for Assistant Directors and clinical education operations staff. Responsibilities include: Directly supervise Senior/Assistant Directors of Clinical Education Operations. Provide leadership and guidance to teams responsible for clinical scheduling and student advising. Ensure Senior/Assistant Directors effectively manage Clinical Student Administrators supporting clinical students. Establish performance expectations, operational metrics, and service standards. Support staff development, training, and professional growth across clinical education teams. Clinical Scheduling and Student Progression Oversight Ensure effective management of student schedules and clinical placement processes. Responsibilities include: Oversee scheduling operations for third- and fourth-year clinical rotations. Monitor student rotation schedules to ensure completion of required clerkships and electives. Ensure scheduling practices comply with institutional policies, accreditation requirements, and state regulations. Address escalated scheduling conflicts and complex student placement issues. Ensure accurate tracking of student progression toward graduation requirements. Data Systems and Operational Reporting Ensure effective use and management of clinical education data systems. Responsibilities include: Oversee rotation management systems and reporting platforms used to manage clinical placements. Ensure accuracy of student scheduling data and reporting tools. Monitor operational metrics related to student placement, rotation capacity, and program performance. Develop reports to support institutional planning, accreditation requirements, and leadership decision-making. Compliance and Accreditation Management Ensure clinical education operations meet all institutional, accreditation, and regulatory requirements. Responsibilities include: Maintain compliance with FERPA and other regulatory standards. Ensure clinical education operations align with accreditation requirements. Support institutional accreditation and program review processes. Ensure student scheduling aligns with Registrar and Financial Aid requirements. Monitor operational compliance across clinical sites and training programs. Student Support and Success Oversight Ensure students receive consistent support throughout their clinical training. Responsibilities include: Oversee processes used by Clinical Student Administrators to support and advise clinical students. Ensure student advising and communication processes support student success. Monitor escalation of student concerns and ensure timely resolution. Support initiatives that enhance the clinical student experience and educational outcomes. Cross-Functional Collaboration Collaborate with internal and external stakeholders to support clinical education operations. Responsibilities include: Serve as liaison between academic leadership, clinical education teams, and hospital partnership teams. Work closely with the Registrar, Admissions, Financial Aid, and other institutional departments. Partner with clinical site administrators and hospital leadership to support clinical training programs. Provide leadership input on clinical education strategy and operational improvements. Process Improvement and Strategic Initiatives Drive continuous improvement of clinical education operations. Responsibilities include: Identify opportunities to improve clinical scheduling, data management, and student support processes. Implement operational improvements that increase efficiency and consistency. Support implementation of new technologies and workflow enhancements. Contribute to strategic initiatives that strengthen clinical education programs. Additional Responsibilities Provide operational leadership during peak periods or operational challenges. Support institutional initiatives and special projects as assigned. Represent clinical education operations in institutional meetings and strategic discussions. Perform other duties and special projects as assigned by senior leadership. This description is not intended to be all-inclusive. Knowledge, Skills Abilities Strong leadership and organizational management skills Knowledge of clinical education operations and medical education systems Expertise in clinical rotation scheduling and student progression management Strong data analysis and reporting capabilities Excellent communication and stakeholder engagement skills Ability to lead teams and manage complex operational environments Strong problem-solving and decision-making skills Qualifications Education Bachelor’s degree required Master’s degree in healthcare administration, education, business administration, or related field preferred Experience 7–10 years experience in clinical education operations, medical education, or healthcare administration 3–5 years leadership or management experience Experience managing clinical rotation scheduling or medical education programs preferred Experience working with clinical education management systems and institutional data platforms preferred Work Environment Primarily office-based or remote work within a collaborative operational environment supporting medical education programs. Hours Travel Standard full-time work schedule Extended hours may be required during peak scheduling periods Limited travel may be required for institutional meetings or clinical site visits The anticipated salary range for the Director of Clinical Education Operations is $119,000 to $140,000 per year. The final salary offered may vary and will be determined based on factors such as job-related knowledge, skills, experience, location, and education of the successful candidate.
