Job Description
Procedure Coordination & Scheduling
- Collaborates with Division Leadership and the Procedure Team to develop, implement, and maintain an efficient, standardized scheduling process across interdisciplinary teams.
- Serves as the primary resource for troubleshooting and resolving operational and scheduling issues on behalf of the Procedure Team, providers, and Division Administrator.
- Acts as the primary liaison for referring physician practices, facilitating new patient referrals and resolving scheduling and access-related concerns.
- Maintains working knowledge of insurance benefit eligibility, payer requirements, authorization processes, and precertification needs. Coordinates with appropriate stakeholders to ensure all required approvals and clearances are obtained to support timely and coordinated patient care.
Program Operations & Team Support
- Partners with administrative staff and Division Leadership to coordinate, organize, and promote Procedure Team meetings and related activities.
- Prepares meeting agendas, minutes, correspondence, reports, and other materials, and distributes information to appropriate stakeholders in a timely manner.
- In collaboration with Division Leadership, monitors Procedure Team performance, progress, and operational metrics. Supports initiatives addressing regulatory requirements, quality improvement efforts, procedural volumes, and departmental goals.
Quality Improvement & Data Management
- Identifies opportunities for process improvement and participates in performance improvement initiatives designed to enhance patient care, customer service, operational efficiency, and provider satisfaction.
- Maintains and manages clinical databases related to procedural activities, ensuring data integrity, accuracy, completeness, and appropriate storage of information.
Communication & Website Management
- Collaborates with the Administrative Supervisor to maintain and update procedure-related content on the Division's website, ensuring information remains accurate, current, and accessible.
Other Duties
- Performs other duties and responsibilities as assigned.
Minimum Requirements:
High School Diploma Required. Bachelor’s Degree Preferred; minimum four years of related administrative experience required. A combination of education and experience will be considered in lieu of either area.
Excellent leadership, organizational and analytical skills, ability to work with teams, strong written/verbal communication.
Strong planning and coordination skills.
Ability to work independently and exercise good and professional judgment.
Knowledge of medical terminology and medical education programs, preferred.
Experience in an Academic Medical Center, preferred
Extensive knowledge and experience working with Microsoft applications
