Salary: $18.50/hour minimum

Report Times: 6:45 a.m. - 2:45 p.m.
Daily Hours: 8 (7.5 Paid)
Work Year: 44 week

Civil Service Title: Office Clerk II (Competitive - NY HELPS Program)

Minimum Requirements: 
Graduation from high school or possession of an equivalency diploma, plus EITHER:

(A) Graduation with an Associate's degree or successful completion of at least sixty (60) credit hours from a college or university; OR,

(B) Two (2) years paid full-time or its part-time equivalent office clerical or secretarial experience*; OR,

(C) An equivalent combination of education and experience as defined by the limits of (A) and (B) above.

*Experience as a Teller, Cashier or Sales Clerk will not be considered appropriate experience for the purposes of these minimum qualifications.

NOTE: Your degree must have been awarded by a college or university accredited by a regional, national, or specialized agency recognized as an accrediting agency by the U.S. Department of Education/U.S Secretary of Education. If your degree was awarded by an educational institution
outside the United States and its territories, you must provide independent verification of equivalency. A list of acceptable companies who provide this service can be found on the Internet at http://www.cs.ny.gov/jobseeker/degrees.cfm. You must pay the required evaluation fee.

SPECIAL REQUIREMENT: If you are appointed, you will be required to possess a valid license to operate a motor vehicle in New York State or otherwise demonstrate your capacity to meet the transportation needs of the position.
 

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). HELPS Program titles may be filled via a non-competitive appointment. This means that you do not need to take an exam to qualify, but you do need to meet the minimum qualifications of the title.

At a future date (within one year of permanent appointment), employees hired under NY HELPS are expected to have their permanent non-competitive employment status converted to permanent competitive status. You will not have to take an exam to gain permanent competitive status.


Desired Qualifications: 
Strong computer knowledge and experience with Microsoft Office (specifically Excel), Google Docs, and Gmail;  
Familiarity with Infinite Campus, Frontline, or other school reporting systems (e.g., WinCap Financial, WinCap Employee);
Outstanding interpersonal and organizational skills, with a demonstrated ability to work with minimal supervision in a fast-paced environment;
Clerical aptitude, strict accuracy, neatness, and dedicated follow-through.


Position Summary/Responsibilities: 
This posting is seeking a highly organized, detail-oriented, and welcoming professional to fill a dual-role position combining Main Office reception duties with school/departmental budget clerk responsibilities. This individual serves as the "face of Arcadia" to visitors, students, and staff while simultaneously managing building-level financial tracking, purchasing, and supply inventories. The ideal candidate possesses excellent interpersonal skills and advanced technical proficiency with spreadsheet mechanics and financial tracking software.

Front Desk & Reception Operations (Approx. 50%)
Customer Service: Act as the primary point of contact for the High School Main Office. Greet and screen visitors, parents, and community members in accordance with building protocols. Communication Management: Manage a multi-line telephone system; handle inquiries politely and efficiently, taking accurate messages or routing calls to appropriate administration, counselors, or faculty; Student/Parent Support: Assist with student sign-ins/sign-outs, phone collection/distribution, YONDR pouch sales and organization, etc; Daily Administration: Sort and distribute building mail, maintain the cleanliness and organization of the reception area, and handle routine correspondence (memos, emails, announcements).

Budgetary & Fiscal Operations (Approx. 50%)
Financial Tracking: Maintain and monitor building-level allocations, departmental budgets, and student activity accounts. Ensure all spending aligns with district parameters; Purchasing & Procurement: Prepare, submit, and track purchase orders (POs) and blanket orders using the district's financial database (WinCap); Invoice & Payroll Processing: Review incoming vendor invoices against orders for accuracy, resolve discrepancies, and process payroll vouchers for building support staff or extra-duty work as needed; Inventory Control: Monitor, order, and maintain inventory for all main office and general building supplies, ensuring cost-efficient spending; Desired Qualifications & Skills Technical Proficiency: Strong command of Microsoft Office Suite (advanced Excel knowledge is critical for budget tracking) and Google Workspace (Docs, Sheets, Gmail, and Shared Drives); School Software: Experience with or ability to rapidly learn WinCap Financial (for budgeting/POs) and Infinite Campus (student information system); Communication & Demeanor: Outstanding verbal and written communication skills. Ability to maintain a calm, professional, and welcoming demeanor in a high-traffic, fast-paced school environment;  Discretion: Absolute commitment to confidentiality regarding student records and sensitive school data in compliance with FERPA regulations.
