Job Description
JOB DESCRIPTION
AIM OF THE JOB
Support the day-to-day administration and operations of the property and parking facilities through accurate transaction processing, documentation management, reporting, stakeholder coordination, and compliance with operational procedures and service standards.
KEY AREAS OF RESPONSIBILITY
Parking Operations & Administration
- Administer parking registrations, renewals, cancellations, and related transactions in a timely and accurate manner.
- Maintain and update parking records, databases, and documentation.
- Perform daily reconciliation of parking collections and transaction records in compliance with approved procedures and SOPs.
- Prepare parking-related reports and submit required information to Finance and relevant stakeholders accurately and on time.
- Coordinate with parking operators on daily operational and administrative matters.
- Assist in handling parking-related enquiries, requests, and issues from tenants and customers professionally.
Contract and Vendor Management
- Coordinate with service providers and contractors on daily operational and administrative matters.
- Verify service completion and supporting documentation submitted by vendors.
- Process invoices, payment claims, service confirmations, and other related documents in accordance with company procedures.
- Support contract administration, document tracking, and follow-up on outstanding submissions.
Compliance, Governance & Risk Management
- Maintain proper operational, financial, and contractual records for audit, compliance, and internal control purposes.
- Ensure adherence to company policies, procedures, SOPs, and applicable regulatory requirements.
- Support governance processes through proper documentation, record keeping, approvals, and reporting.
- Assist in identifying and escalating operational risks, control gaps, and non-compliance matters where appropriate.
- Prepare operational reports, management updates, and supporting documentation as required.
General administration
- Provide administrative and coordination support for day-to-day property operations.
- Prepare and process operational documents, including memos, purchase orders, contracts, and correspondence.
- Coordinate with internal departments, tenants, and external stakeholders on operational matters as assigned.
- Assist in the preparation of reports, presentations, and operational updates.
- Support projects, operational initiatives, and other assignments are directed by the Supervisor or Manager.
JOB REQUIREMENTS
Qualifications & Experience
- Diploma or bachelor’s degree in Facilities Management, Business Administration or related disciplines
- Minimum 1 year of relevant experience in property/facility management or related industries
- Familiar with office administration, documentation control and operational processes
- Detailed-oriented with strong attention to detail and organization
Competency
- Strong attention to detail and accuracy, especially in data recording and reconciliation
- Good communication and interpersonal skills
- Service-oriented with good stakeholder management skills
- Ability to work independently and handle routine operational tasks efficiently
- Good organizational and time management skills
- Proficient in Microsoft Office applications (Excel is essential)
- Basic English proficiency for daily communication
