Job Description

Primary Purpose:

Assist the PEIMS Coordinator in coordinating the collection and reporting of district Public Education Information Management System (PEIMS) data and Student Information System (SIS) implementation.

Qualifications:

  • High school diploma
  • Three (3) years' experience working with a student information system and/or PEIMS - preferred

Special Knowledge/Skills:

  • Strong organizational, communication, and interpersonal skills
  • Proficient keyboarding and file maintenance skills
  • Ability to use computer and software; advanced skill with Microsoft and Google products (i.e., Microsoft Word, Excel, Access, etc.)
  • Knowledge of the District's Student Information System
  • Proficient working knowledge of PEIMS Data Standards and the Student Attendance Accounting Handbook
  • Understanding of TEA related laws and procedures
  • Ability to communicate effectively (verbal and written)
  • Ability to respond to questions and complaints with clarity, patience, understanding, and remain courteous
  • Ability to multi-task using several devices and modes of communication simultaneously
  • Ability to problem solve data technical issues and user interaction
  • Attention to detail
  • Ability to work as a team
  • Proactive, self-motivated, and self-directed

 

Major Responsibilities and Duties/Records and Reports:

  • Assist in coordinating the collection, integration, and formatting of all data required for PEIMS submissions according to the PEIMS Data Standards and Student Attendance Accounting Handbook
  • Assist in working cooperatively with campus, business office, and human resources staff to collect, organize, and format data required for submission of district PEIMS data in a timely manner.
  • Assist in running edits, reports, and verification checks on data to ensure accuracy of information.
  • Assist in distribution edits and reports to appropriate staff for analysis, verification, and correction.
  • Assist in submitting complete and accurate PEIMS data in the Texas Education Agency (TEA)

    prescribed format.

  • Assist in providing support for audits.
  • Submit accurate Enrollment Event file weekly and correct discrepancies.
  • Assist in maintaining student management system parameters for the District.

     

Training and Technical Support:

  • Assist in developing training materials, providing training and support to campuses and to business and human resources staff responsible for processing PEIMS data.

  • Provide support for end users in all areas of the Student Information System, including, but not limited to, student maintenance, grade reporting, scheduling, attendance accounting, special programs, discipline, historical data, health services, and grade book.

  • Assist in receiving PEIMS related information from the ESC and the TEA, and disseminate to other staff in a timely manner, including updates to PEIMS Data Standards and the Student

  • Attendance Accounting Handbook.

  • Attend all regional PEIMS workshops and disseminate information to appropriate staff as assigned by the Director of PEIMS.

     

Other:

  • Assist in complying with policies and procedures established by federal and state law, State board of Education rule, and local Board policy.

  • Comply with the District standard for state and Federal accounting laws and procedures in the Texas Student Attendance Accounting Handbook and PEIMS Data Standards.

  • Assist in compiling, maintaining, and filing all physical and computerized reports, records, and other documents required.

  • Perform any and all duties as assigned.

  • Assists with the functionality of the Student Information System as related to student data.

  • Knowledge and comprehension of functions performed by the PEIMS specialist.

     

Supervisory Responsibilities: None

Equipment Used:

Computer, printer, fax machine, and copier.

Working Conditions:

  • Fast-paced and at times stressful in meeting state required deadlines, occasional prolonged and irregular hours.
  • Work with frequent interruptions.
  • Ability to perform mathematical calculations and complex spreadsheet functions.
  • Prolonged use of computer resulting in repetitive hand motions.
  • Ability to maintain emotional control under stress.
