Job Description

 

School Bookkeeper 

REPORTS TO: Principal

Purpose of the position: 

To assist the principal in the administration of the school's business affairs by providing the maximum services for the financial resources available. Responsible for performing a variety of business office duties to include maintaining the school's accounts in the appropriate system and bank statement reconciliations.

ESSENTIAL JOB FUNCTIONS (Functions essential to attaining job objectives): Strategic Goal Area I�Student Achievement 

1. Assist administration and instructional staff in providing appropriate learning environment for student success.
 

Strategic Goal Area II�Stakeholder Engagement and Loyalty

1. Perform general office support functions and assist area personnel as needed. 2. Assist in answering calls concerning payables and school activity accounts. Strategic Goal Area III�Efficient and Effective Operational Processes

2. Assume responsibility for performing assigned accounting and related clerical support functions. 

a. Maintain all funds of the school in the appropriate system. 

b. Code and enter requisitions for all county allotted QBE funds using the purchase order system. 

c. Send purchase orders to vendors. Receive goods and verify amounts and quantities. 

d. Issue school purchase orders with principal approval. 

e. Complete matrix form documenting where county allotted QBE funds are budgeted to be spent and submitting to the county office. 

f. Enter and track all bills to be paid from school activity funds (Non-QBE expenditures). 

g. Maintain invoices including reviewing invoices for accuracy. 

h. Balance and run accounts payable checks on a weekly basis. 

i. Reconcile the school bank account including tracking any investments made. 

j. Receive money as needed from fund raisers, school athletic events and any other funds received as necessary. 

k. Maintain paid invoice file and box/label old files for storage in accordance with record keeping requirements. 

l. Prepare report of tickets sold form for athletic events and any other event where admission is charged. Responsibilities include ensuring that tickets numbers are noted on form and that form balances when returned. 

m. Responsible for preparing quarterly financial report of the school and submitting to the central office. 

n. Responsible for gathering information relating to open records requests for financial documents. 

3. Maintain accounting document files, including daily work, and accounts payable.

4. Key daily work to the general ledger system. 

5. Print accounts payable checks and insert into appropriate envelopes and/or folder sealer machine.

1. Work collaboratively with peers, administration, and parents to ensure student success. 

2. Attend job related trainings and workshops. 

3. Perform such other duties and tasks and assume such other responsibilities as may be assigned from time to time. 
 

NON-ESSENTIAL DUTIES PERFORMED BY THIS POSITION:  

Position serves as a back-up to front office secretary when needed to include answering phone, making copies, and working the front desk. These duties are strictly secondary in nature and are performed minimally.
 

OTHER EXPECTATIONS:

1. Adhere to the Code of Ethics for Educators in Georgia. 

2. Demonstrate prompt and regular attendance /timeliness. 

3. Complete assignments and requirements on time and in compliance with directions. 

4. Maintain accurate, complete, and appropriate records and file reports promptly.

5. Maintain confidentiality of information and records for students and staff.

 JOB STANDARDS (Minimum qualifications needed to perform essential job functions):  

1. Education: Minimum of a High School Diploma. College degree or technical degree in accounting or finance preferred but not required. 

2. Experience: Minimum of 1 to 3 years in governmental accounting or similar organization. 

3. Language Skills: Ability to communicate effectively with employees and potential employees in regards to payment processes and financial matters. 

4. Mathematical Skills: Ability to apply and interpret moderately complex mathematical concepts. 

5. Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions. 

6. Technical Skills: Must be able to process accounting in a computer generated environment. Accounting system consists of a mainframe system in addition to Microsoft Excel and Word. Ability to use an electronic adding machine.
