
Administrative Assistant/Front Desk Specialist
Job Description
Rubbercraft (RCC) is seeking a highly organized and proactive Administrative Assistant / Front Desk Specialist to support office operations. This role is ideal for someone who thrives in a fast-paced environment and can effectively manage multiple priorities, including front desk operations, office coordination, internal communications, and event support.
The ideal candidate will play a key role in ensuring a smooth and professional office experience for employees, customers, and visitors.

Work Environment
- Onsite in Long Beach, CA
- Standard office and manufacturing environment
- May require use of PPE (safety glasses, masks, hearing protection, etc.)
- Exposure to manufacturing conditions (noise, temperature changes, dust/fumes)
- Physical requirements:
- Sitting: ~70% | Standing: ~30%
- Lifting: up to 20 lbs
Key Responsibilities:
Front Desk & Customer Support
- Manage front desk operations, including phones and visitor check-in
- Monitor and route inquiries from the info@rubbercraft mailbox
- Welcome customers and contractors; ensure proper badging and compliance (ITAR requirements)
- Coordinate conference room scheduling, visitor logistics, and catering for meetings
- Create and manage welcome screens and lobby displays
- Support customer surveys and commercial team requests
Office & Administrative Support
- Manage office supplies, ordering, and daily restocking
- Maintain organized records and distribute incoming mail
- Ensure breakrooms, coffee stations, and shared spaces are stocked and maintained
- Set up and maintain conference rooms and shared spaces for daily readiness
- Monitor and maintain office TVs and dashboard displays
Communication & Events
- Support monthly all-hands meetings (content coordination, logistics, A/V setup)
- Prepare internal communications, memos, and presentations
- Assist with social media monitoring and business card coordination
- Manage and maintain the company swag store and tracking program
- Support company events and participate in the events committee
Safety & Compliance Support
- Distribute weekly safety communications and maintain training records
- Update and maintain the RCC Environmental & Safety Binder
- Ensure compliance with internal procedures and documentation standards
Qualifications:
Education
- High School Diploma required
- Associate degree or higher in Business Administration or related field preferred
Experience
- 2+ years of experience in an administrative, office manager, or executive assistant role in a fast-paced environment
- 2+ years of experience in media/graphic design (banners, signage, presentations, etc.) preferred

- Excellent communication and interpersonal skills
- High attention to detail and ability to maintain confidentiality
- Proficiency in Microsoft Office Suite
- Ability to work independently and collaboratively
- Flexibility to adapt to changing priorities and deadlines
