Job Description
POSITION SUMMARY
The Enrollment Specialist supports district student enrollment, assignment, and records processes by assisting families, processing applications, verifying documentation, and maintaining accurate student data. The role works closely with schools and district staff to ensure enrollment procedures are completed efficiently, accurately, and in compliance with district, state, and federal requirements. The Enrollment Specialist plays a critical role in delivering high-quality customer service while helping families navigate school assignment and transfer processes.
MINIMUM REQUIREMENTS
EDUCATION:
- High School Diploma or GED required
- Associate's degree or higher preferred
- Additional years of equivalent professional experience may be considered in lieu of the degree requirement
CERTIFICATION/LICENSE:
- N/A
WORK EXPEREINCE:
- 1�3 years of experience in school registration, student records, administrative support, or customer service
- Experience in a K�12 school district or centralized enrollment environment preferred
- Experience working with student information systems preferred
- Experience in K�12 education or public sector preferred
KNOWLEDGE, SKILLS, & ABILITIES
- Knowledge of student enrollment or records processes preferred
- Strong attention to detail and data accuracy skills
- Excellent customer service and interpersonal communication skills
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment
- Ability to maintain confidentiality and handle sensitive information appropriately
- Cultural competency and ability to work effectively with diverse families
- Proficiency with computers, data systems, and office software
ESSENTIAL DUTIES
- Process new student enrollments, registrations, withdrawals, transfers, and records requests for assigned schools
- Review and verify required documentation including proof of residency, guardianship, identity, and academic records
- Enter and maintain accurate student information in the district's student information system
- Ensure cumulative records are properly requested, received, and maintained according to district guidelines
- Monitor enrollment status and follow up with families or schools regarding missing documentation
- Ensure accuracy, completeness, and compliance of all enrollment documentation and data entry
- Follow established quality control procedures and correct errors promptly when identified
- Maintain confidentiality of student records in accordance with FERPA and district policies
- Support audit preparation and documentation reviews as requested
- Escalate complex cases or compliance concerns to the Lead Registrar
- Provide direct customer service to families regarding enrollment requirements, school assignments, residency, and transfer options
- Assist families with completing applications and uploading required documents
- Respond to inquiries via phone, email, and in-person appointments in a timely and professional manner
- Collaborate with school-based staff to resolve enrollment issues and ensure smooth student transitions
- Provide language access support through translation services as needed
- Work closely with Lead Registrars and team members to ensure consistent processes across schools
- Communicate enrollment updates and concerns to supervisors in a timely manner
- Participate in team meetings, training sessions, and professional development opportunities
- Support peak enrollment periods and special enrollment events
- Provide feedback on enrollment processes to improve efficiency and family experience
- Participate in training to stay current on policy, procedural, and system updates
- Assist with special projects or initiatives related to enrollment and student assignment as assigned
- Required to have prompt, regular attendance in person and be available to work on-site during regular business hours and as needed
- Performs other duties as assigned by the appropriate administrator or their representative

Strength: Ability to lift, push, pull and/or carry objects which weigh as much as 15 or more pounds on a frequent basis.
