
Canaport Offshore Administrator
Job Description
As a Canaport Offshore Administrator, you will provide comprehensive administrative support across all facets of Canaport Offshore, including Operations, Training, and Maintenance (both day‑to‑day activities and projects), while supporting the facility’s function as an Oil Handling Facility. Your goal will be to ensure administrative, procurement, and work management processes run efficiently and seamlessly in support of offshore and onshore operations. Your success will be measured by accurate coordination of work orders, procurement, timekeeping, and documentation, enabling shift teams and contractors to perform safely and effectively.

Your Responsibilities
Provide day-to-day administrative support to Operations, Maintenance, Training, and Offshore shift teams
Manage revisions and control of Oil Handling Facility (OHF) documents, including the Oil Pollution Prevention Plan and Oil Pollution Emergency Response Plan
Coordinate procurement of specialty marine and site-specific Personal Protective Equipment (PPE)
Input and manage requisitions for Operations, Maintenance (day-to-day and projects), and Training activities
Create and manage purchase orders for office supplies, PPE, weather forecasting services, locker facilities, and service boat provisions
Maintain maintenance backlog schedules and ensure continuity of work orders between day teams and shift crews
Assign work orders to shift teams, track completion, and input results into the maintenance system
Perform contractor timekeeping, including call-in and dive pay tracking
Review and approve invoices from key service providers, including Atlantic Towing Ltd. and DMK Marine Services
Your Skills
Strong administrative, organizational, and time-management skills in an industrial or marine environment
Experience with procurement, purchase orders, invoicing, and contractor timekeeping
Working knowledge of maintenance management systems and work order coordination
Proficiency with standard office software (e.g., Microsoft Excel, Word, Outlook)
Ability to communicate effectively with offshore shift teams, contractors, and management
Attention to detail and ability to manage multiple priorities in a safety-critical environment
Your Experience
2-5 years of administrative experience, preferably in offshore, marine, industrial, or oil and gas operations
Post‑secondary education in Business Administration, Office Administration, or a related field, or equivalent practical experience
Experience supporting maintenance, operations, or safety systems considered an asset
