Job Description

POSITION SUMMARY:

Performs a combination of clerical tasks to support office, business, or administrative operations by performing the following duties:

  • Maintains Records
  • Receives, prepares, or verifies documents.
  • Searches for and compiles information and data.
  • Responds to routine requests with standard answers (by phone, in person, or by correspondence).
  • Perform other routine office work (e.g., typing, filing, or operating a keyboard-controlled data entry device to transcribe data into a form suitable for data processing).
    Codes and files documents in an extensive alphabetical file.
  • Makes simple adaptations and interpretations of a limited number of substantive guides and manuals. 

RESPONSIBILITIES AND DUTIES:

  • Provides all administrative support functions including all required clerical duties (i.e. telephone responsibilities, generating, maintaining Government & Valiant
    reports, personnel records, time cards, etc.)
     
  • Maintain a suspense or correspondence tracking system ensuring timely response to correspondence and reports  
  • Maintains Purchase Order (PO) Log, files PO documents; 
  • Ensures POs are assigned material orders are placed and are documented correctly  
  • Will serve as the overall key custodian, have responsibility to implement the Government provided Key Control Plan utilizing the Valiant Key Control SOP  
  • Will serve as the GFE custodian and receive/account for all government provided facilities and equipment  
  • Handles Uniform Inventory and replacement orders with outside contractor  
  • Serves as HR onsite, payroll, tracks & files all employee certifications & licenses, training, immunizations & health records  
  • Will maintain log book of Subcontractors’ certifications and licenses  
  • Generates personnel files as each employee is engaged and maintains these files in an up-to-date and accurate condition that is code compliant  
  • Schedules training for MTF staff, coordinating accident reports and maintains O&M library; serves as custodian to receipt/account for Government Furnished Facilities & Equipment  
  • Maintains O&M technical library  
  • Maintains DMLSS ensuring it is up-to-date: DMLSS Functions include: Facility Management Inventories, Work Request Management, Project Management, Preventive
    Maintenance Program, and Drawing Management
     
  • Generates monthly and weekly PM schedules from DMLSS  
  • Assists PM/CA and QCM/SSHO with miscellaneous Deliverables to Customer and to Corporate 

QUALIFICATION REQUIREMENTS:

  • Must have a familiarity with office unit procedures.  
  • Two years’ experience using Micro Soft Office products, especially MS Excel and Word.  
  • Experience with DMLSS system is desirable but is not a mandatory.  
  • Working knowledge and familiarity with current JCAHO EOC standards for either healthcare or ambulatory healthcare occupancies, as required, by the work site is desirable but is not mandatory.  
  • Working knowledge and familiarity with current National Fire Protection codes and standards for medical facilities is desirable but is not mandatory.  
  • Working knowledge and familiarity with current OSHA requirements for medical facilities is desirable but is not mandatory.  
  • A working knowledge, familiarity or background in medical facilities management is desirable but is not mandatory.  

EDUCATIONAL REQUIREMENTS:

  • High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and
    experience.
     
  • Computer Aided Design (CAD) expertise is desirable but not mandatory. 

QHSE REQUIREMENTS:

  • Report Environmental impacts, anything that results in a change to the Environment as a result of Valiant’s activities, products or services.  
  • Participate in the achievement of Valiant’s QHSE objectives and targets, both those at departmental and company level.

ADDITIONAL REQUIREMENTS:

  • Must complete background checks and facility related training  
  • Will be required to possess valid state and facility licenses to operate a vehicle in the performance of their duties  
  • Shift: 0700 - 1600
