Administrative Coordinator

Job Description

As the Administrative Coordinator - CMMS, you will be a critical member of our facilities team. You contribute directly to the success of our tenants and their ground-breaking scientific discoveries by providing white-glove service to the customer. You will direct the day-to-day preventative maintenance operations, report to senior leadership, and provide administrative support to the facilities team.

Job Responsibilities:

  • Serve as the initial point of contact for tenants and their facilities work requests
  • Coordinate and manage the Angus work order system
  • Communicate regularly with Asset Services and Engineering teams
  • Contact vendors and schedule subcontractor support of work as needed
  • Generate standardized reporting on work order volumes, times, and productivity
  • Follow-up with requestors about status, expected completion, and delays
  • Survey tenants to ensure satisfaction
  • Participate in site meetings as required
  • Maintain operational files, original equipment manufacturer specs, project close-out documents, regulatory files, and other files as required by the site
  • Provide administrative support to team
  • Other duties as assigned

Requirements (Knowledge, Abilities, Skills, Education and Experience):

  • Proficient in Microsoft Office
  • Service-oriented attitude
  • Must be able to work as part of a team and support the team
  • Excellent verbal and written communications skills
  • Property Management and real estate experience a plus
  • Experience in Angus or other CMMS a plus
  • Bachelor’s degree in Business, Finance, Engineering or the sciences a plus
  • Two years’ related experience in facilities operations and maintenance a plus
