ESS-Executive Coordinator
Job Summary
The ESS- Executive Coordinator will serve as an administrative point of contact to an assigned group of RSM owners and managing directors. Under supervision, the coordinator will provide high-quality support and guidance to leaders and teams. This role is designed to deliver excellent customer service through clear, timely, and solution-oriented responses to a range of ad-hoc administrative requests. In addition, the ESS Coordinator will fulfill administrative requests from owners and employees through the ESS request site. This position requires a high level of professionalism and a strong sense of urgency.
Essential Duties
Responsibilities
• Act as a point of contact for ESS-related needs and inquiries. Execute administrative tasks such as travel arrangements, expense processing, and complex meeting coordination. Assist with proofreading or editing internal documents including PowerPoint slides, handouts, and spreadsheets ensuring a professional and consistent appearance. Participate in projects and/or events as assigned, including conducting research and organizing details. Maintain minimum monthly communication with assigned individuals to align on support needs.
• Monitor dashboard and promptly address requests received through the ESS request site including travel arrangements, expense processing, PowerPoint presentations, and document formatting. Follow all required instructions for utilizing the ServiceNow system.
• Serve as the go-to resource to deliver a consistent and positive experience. Provide general knowledge of firm internal teams, systems, and tools. Act as a liaison between ESS, other internal departments, and/or external parties to locate guidance, answer questions, and connect stakeholders with appropriate contacts.
• Perform other duties as assigned.
Qualifications
Education
Bachelors degree or 2 or more years of experience in a related field.
Technical / Soft Skills (Required)
• Intermediate Microsoft Office skills with the ability to learn firm-utilized programs and software
• Demonstrates basic knowledge of required technology tools
• Ability to communicate effectively with a diverse audience
• Strong organization, prioritization, time-management skills, and attention to detail
• Excellent interpersonal and customer service skills
• Strong grammar, proofreading, and editing skills
• Ability to prepare presentations including charts, graphics, tables, and handouts
• Ability to balance multiple tasks and projects simultaneously
Special Requirements
• Ability to convey instructions clearly and concisely and respond promptly when required
• Maintains professionalism in demeanor, communication, and attire
Experience
One to three years of relevant experience in a related field or functional area.
Leadership Skills (Required)
• Ability to facilitate discussions with leaders
• Ability to manage at a macro level and identify when a refined approach is necessary
• Ability to respond positively to changing circumstances and drive business improvement
• Works collaboratively to provide enterprise-wide support, particularly during peak periods
