Job Description

Work Schedule: Up to 20 hours per week; work hours include early mornings, late nights, and weekends; shifts based on operational needs of the organization. 

OVERVIEW

Associated Students, Inc. (ASI) employs student-focused professionals with equity-mindsets. Established in 1963, Associated Students, Inc. (ASI) is a non-profit corporation led by a 14-member board of elected student leaders. ASI is an auxiliary organization authorized by the California State University Board of Trustees to perform Student Life functions for Cal Poly Pomona students. ASI provides opportunities for student engagement, student leadership and employment, and a multitude of Student Life programs and services e.g., recreation and wellbeing, student union and activities, student government, clubs and organizations, food pantry, and childcare. The administrative and student support areas of ASI include human resources, financial services, information technology, facilities management, and marketing. ASI employs approximately 500 part-time students and 60 full-time staff members. ASI accepts the responsibility for conscientiously managing mandatory student fees and state-owned facilities: $18M annual operating budget, $5M annual debt service, approximately $24M in reserves, and 294,253 square feet of student space (student union, recreation center, and pool). ASI is in the Cal Poly Pomona Division of Student Affairs with a dashed reporting line to Administrative Affairs. ASI serves the entire campus population, including over 28,000 students.

POSITION DEFINITION

Under the general supervision of the Art Experience Manager, the Art Experience Representative provides quality support, keeping programs and services running smoothly, handling details of the Art unit's creative experiences and exhibitions with reliability and care. Success requires organization, consistency, and teamwork by bringing order and follow-through to the operations of ASI spaces as they are transformed into inclusive galleries and creative outlets. Assistants help turn plans into dependable services, experiences, and spaces that support the student journey and further ASI’s purpose of transforming lives through shared creativity. 

ESSENTIAL DUTIES

  • Develop educational, collaborative programs with Associated Students, Inc. (ASI), campus Departments, the campus community, and the community at large 
  • Develop and maintain a database of the Bronco Student Center Permanent Art Collection 
  • Plan, develop, and implement exhibits, artist receptions, and artist talks 
  • Create and maintain contact with artists, vendors, performers, and other agencies to obtain cost estimates and discuss art installation and/or event logistics in a professional manner 
  • Work with on-campus dining and other food providers to order catering for events 
  • Maintain positive and professional working relationships with external agencies and within the organization and campus community 
  • Work within the boundaries of established event budgets and track expenditures and related documents 
  • Complete financial paperwork and communicate with office staff and Financial Services to ensure all documents are submitted correctly 
  • Present professional appearance and attitude at all times, and maintain a high standard of customer service 
  • Attend all required departmental and organizational team meetings, retreats, and trainings 
  • Assist with Art programs and events.
  • Ensure event details are updated and current on campus reservation systems, the campus Master Calendar, and internal filing systems 
  • Communicate in writing and verbally, in a professional and courteous manner 
  • Perform other related duties as assigned 
  • Participate in campus-wide collaborations that serve the overall mission of the unit, department, ASI, the division of student affairs, and the university
  • Perform other related duties to support the mission of ASI, as assigned

 MINIMUM QUALIFICATIONS 

  • 3-6 Months Customer Service Experience
  • Detail-oriented skills with the ability to perform consistent, accurate work 
  • General computing skills to use (or learn to use) Microsoft Word, Excel, PowerPoint, Outlook, Teams, and other workstation software 
  • Ability to follow routine verbal and written instructions 
  • Ability to adhere to work rules, follow directions, use time effectively and work productively without close supervision 
  • Ability to prioritize tasks, take initiative, and remain flexible in a changing environment 
  • Ability to effectively communicate clearly and concisely, both verbally and in writing 
  • Ability to work with a diverse student population and campus community

EMPLOYMENT ELIGIBILITY

Employment with ASI is open to any Cal Poly Pomona student who is eligible to work and has the legal right to work in the United States. In addition, student employees must be currently enrolled in a minimum of 6.0 units (undergraduate) and 4.0 units (graduate), international student employees must be enrolled in a minimum of 12.0 units (undergraduate) and 6.0 units (graduate) at the end of the add-drop period. Student employees are required to have a minimum overall and Cal Poly Pomona GPA of 2.0 and be in good academic standing with the University. Individuals enrolled only in Extended University are not eligible for hire. Exceptions to the unit load requirement are allowed during the summer term and for students who have applied for graduation for the current term.

BACKGROUND CHECK

A background check (including a criminal records check) must be completed satisfactorily before any candidate can begin employment with Associated Students, Inc., Cal Poly Pomona. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current ASI employees who apply for this position.

WORK ENVIRONMENT

While performing duties of this job, the employee is frequently required to sit, talk, and hear; manual dexterity, and eye hand coordination, and verbal communication; use of office equipment: telephones, calculator, copier, and fax. Must be able to walk, stand, bend and lift up to 25 pounds.

MANDATED REPORTING REQUIREMENT
