About the Role

We are actively seeking a compassionate and skilled ACT Program Assistant to join our team full-time. This role is essential to our mission, providing therapy, crisis support, and service coordination for mental health clients in a variety of settings. As a ACT Program Assistant with Carolina Outreach, you will organize, coordinate, and monitor all non-clinical operations of the ACT Team, including managing medical records; operating and coordinating the management information system; maintaining accounting and budget records for individual and program expenditures; and providing receptionist activities, including triage calls and coordinating communication between the team and clients.

  • Assist the team lead with organizing daily team meetings Monday – Friday to address and discuss clinical and administrative issues.
  • Collect and report on aggregate measures of number and type of client contacts for the team.
  • Maintain an updated crisis log and collect client crisis reports from staff. 
  • Track and report client hospitalizations and incarcerations. 
  • Track expiration dates for client’s insurance information and ensure staff are aware of client’s insurance status.

Compensation

Competitive hourly pay aligned with your role, experience, and contribution, with opportunities for growth over time.

  • Compensation: $17.36 - $22.29

Placement within the range is based on licensure level, education, and experience.

What You Can Expect

  • Administrative coordination: You’ll handle scheduling, organize daily team meetings, and keep communication flowing between staff and clients.
  • Record keeping & data tracking: Expect to manage medical records, track client activity (contacts, hospitalizations, crises), and maintain logs and reports.
  • Client support communication: You’ll answer calls, triage basic concerns, and help connect clients with the right team members.
  • Program operations support: You’ll assist with budgeting, monitor insurance info, and help keep the ACT team running smoothly day-to-day.

Responsibilities

  • Maintain records and systems: Keep medical records organized, update the management information system, and ensure all documentation is accurate and current.
  • Track and report client data: Monitor client contacts, crises, hospitalizations, and insurance status, and report this information to the team.
  • Support daily team operations: Help plan and coordinate weekday team meetings and assist the team lead with administrative tasks.
  • Manage communication and front desk tasks: Answer and triage calls, coordinate messages between staff and clients, and provide general receptionist support.

Qualifications

  • At a minimum, completion of a high school diploma, preferably with one year of administrative assistant or other administrative job experience.
