About the Role
We are seeking an organised and detail-driven Timesheet Administrator to support the upcoming AMPOL Refinery Turnaround.
You will work closely with Supervisors, Management, and broader project teams to manage the end-to-end timesheet process for a large workforce operating on complex rosters, including day and night shift crews.
The turnaround runs from Mid-July – End September 2026, operating on a 6 days on / 1 day off roster.
This role is critical to ensuring accurate payroll processing, workforce visibility, and timely project reporting during a high-demand shutdown.

Key Responsibilities
Timesheet & Labour Administration
• Collect and process timesheets for all shutdown personnel
• Verify hours worked, overtime, allowances, and job codes
• Liaise with Supervisors and Leading Hands to resolve discrepancies or missing data
• Ensure compliance with payroll cut-offs and reporting deadlines
• Maintain accurate labour registers and workforce tracking
• Produce daily and weekly labour reporting as required
Project Administration Support
• Collate and maintain workforce and project data across registers and reporting tools
• Assist with reporting requirements including workforce, compliance, and progress tracking
• Enter and manage data across systems such as Excel, ETCH,
• Format documents in line with UGL standards
• Support additional project administration tasks during peak shutdown activity
• Proactively follow up stakeholders to ensure data accuracy and completeness
About You
• Previous experience as a Timesheet Administrator or Project Administrator
• Experience in shutdowns, oil & gas, construction, or heavy industry environments preferred
• Strong proficiency in Microsoft Office (especially Excel); SAP experience desirable
• High level of accuracy and attention to detail with numerical data
• Ability to manage high volumes of timesheets in tight timeframes
• Strong communication skills and confidence engaging with multiple stakeholders
• Highly organised with the ability to prioritise competing deadlines
• Proactive, reliable, and solutions-focused mindset
