What You Will Do:

  • Investigate and resolve missing or misapplied payments in coordination with internal teams and external vendors.

  • Research payment exceptions and discrepancies to ensure timely resolution.

  • Process manual payment adjustments accurately and in compliance with company policies.

  • Assist customers and internal teams with autopay setups, cancellations, and returned payments.

  • Maintain detailed documentation of all payment-related activities and resolutions.

  • Monitor payment queues and bring up issues as needed to ensure service-level agreements are met.

  • Collaborate with the payment services vendor to troubleshoot and resolve system-related issues.

  • Support audits and compliance reviews by providing accurate records and reports.

Who You Are:

  • Minimum high school diploma with 3 years’ experience in a financial environment/bookkeeping/accounting OR Associate's degree in a financial area with limited experience. An equivalent combination of education, certification, work experience will be considered.

  • You possess a proven track record in administrative roles, with a focus on payment processing and financial reconciliation.

  • You are exceptionally diligent and can handle multiple tasks with precision.

  • You have strong communication skills and can effectively collaborate with both internal and external collaborators.

  • You are ambitious and driven, always looking for ways to improve processes and achieve flawless execution.

  • You are proficient in using payment processing systems and have a good understanding of compliance requirements.

  • You can determine the root cause of issues and successfully implement solutions.

Working Conditions:

  • Primarily office-based role with standard working hours.

  • Occasionally, you may need to work extra hours during peak times or to meet deadlines.

  • Occasional travel to meet with vendors.

Physical Requirements include but are not limited to:

Grasping, kneeling, light – moderate lifting (objects up to 20 pounds), reaching above shoulder, repetitive motion, typing, sitting, standing, visual requirement (able to see screens, detect color coding, read fine print), hearing requirement and the ability to work in tight spaces.

Mental Requirements (Both Field & Office) include but are not limited to:

Ability to: understand, remember and apply oral and/or written instructions or other information, understand complex problems and collaborate/explore alternative solutions, organize thoughts and ideas into understandable terminology, organize and prioritize work schedule on a short-term basis, make decisions which have moderate impact on the immediate work unit and monitor impact outside this area, understand and follow basic instructions and guidelines, complete routine forms, compose letters, outlines, memoranda and basic reports and communicate with individuals via telephone.
