The Role

We are looking for a highly motivated Junior Logistics & Operations Specialist to act as the essential operational glue across our supply chain. Sitting right at the intersection of procurement, warehouse operations, and global logistics, you will be the air traffic controller tracking the lifecycle of our swag.

This isn't a role for a passive bystander. You will ensure data flows seamlessly, timelines are met, and potential bottlenecks are cleared before they ever impact a client. This role will be based from our Glasgow office 5 days per week.

What you'll do

  • Cross-Functional Synergy: Act as the primary bridge between Procurement (who orders the goods), the Warehouse team (who stores and packs them), and Logistics (who ships them). You make sure everyone knows what’s coming, when it’s coming, and where it needs to go.

  • Inbound & Intake Coordination: Review procurement purchase orders and proactively prime the warehouse team for arrivals. You’ll ensure they have the exact kitting instructions, delivery timelines, and special specifications required for flawless intake.

  • Data & Inventory Integrity: Own the accuracy of our records. You will verify that physical "Goods In" match procurement orders, instantly investigating and resolving discrepancies like short shipments, damages, or incorrect variants.

  • System Syncing: Keep our internal software platforms and spreadsheets perfectly aligned. You’ll ensure stock levels, order tracking, and production milestones are dynamically updated so the wider team has total visibility.

  • Global Shipping Support: Gather, organise, and prepare critical documentation - including commercial invoices, customs paperwork, and item specifications - to ensure our international shipments glide through borders without delays.

Essential Skills

Open to entry level OR some experience in an operations coordination, project support, logistics, or e-commerce fulfilment environment. Strong organisational talent and a desire to learn matter more than years on a CV.

  • The Organiser: You are detail-obsessed. You love a clean spreadsheet, color-coded systems, and you get a genuine kick out of keeping multiple moving parts neatly aligned.

  • Exceptional Communicator: You can talk to a supplier, a warehouse supervisor, and an account manager with equal clarity. You know how to ask sharp questions to get straight answers.

  • Tech-Savvy: You lean on digital tools to stay efficient. You are highly comfortable with spreadsheets and eager to master inventory management systems (IMS) and collaborative tools like Slack, Notion, or Asana.

  • Resourceful & Adaptable: You don’t panic when plans change. You approach logistical puzzles with a positive, solutions-oriented attitude and love tracking down the missing piece of information.

  • Team Player: You match our collaborative "mucking in" culture. You understand that your work directly empowers the warehouse floor and the logistics desk to succeed.

  • Proactive Problem Solving: Step in when exceptions happen. Whether it's an unannounced supplier delivery, a customs query, or a shifting client deadline, you will dig into the details to fix it and keep things moving.
