Northrop Grumman Mission Systems has an opening for an Administrative Assistant 4 to join our team of qualified, diverse individuals. This position will be on site in Charlottesville, VA. This role requires full-time onsite support; remote or teleworking will not be considered for this role.

 

Position Overview

In this position you will work closely with senior executives, customers, and government representatives, both internally and externally. The ideal candidate will have outstanding verbal and written communication and interpersonal skills; demonstrated ability to interact effectively across all levels of the organization and with outside organizations/customers; the ability to protect and maintain confidentiality; and the ability to execute tasks and projects independently. To be successful you must be an exceptional team player, proactive, self-motivated, well-organized and detail oriented. You must be able to work with minimal supervision, provide excellent follow-through, exercise good judgment, demonstrate flexibility and agility, manage schedule conflicts, prioritize multiple tasks with competing deadlines, and work extended hours as needed.

 

The selected candidate will be responsible for, but not limited to, the following:

  • Providing administrative support to leadership, as assigned
  • Communicating professionally with internal and external customers and executives.
  • Providing active calendar management: scheduling meetings, categorizing/color codes for ease of consumption, deconflicting incoming requests based on priorities, keeping team apprised of short notice changes, maintaining discretion regarding executive calendars and content.
  • Meeting support: preparing rooms ahead of meetings, logging in to the computer, joining teleconference, opening files; managing catering, coffee/water service, as required.
  • Managing workspaces: ensuring conference room equipment, kitchens, hallways, printers remain in reasonable working order, submitting tickets and following-up with Facilities/IT, when necessary.
  • Maintaining a high level of teamwork: promoting collaboration, fostering communication within the team, providing support & coverage for other AA’s, as needed.
  • Making domestic and international travel arrangements, preparing expense reports.
  • Ordering necessary supplies and maintaining inventory with budget approval.
  • Working respectfully and inclusively of a diverse work community.
  • Coordinating visitor requests, hoteling assistance.

 

Basic Qualifications:

  • High school diploma or equivalent, with 6 years of experience in the administrative professional/customer service field; OR a bachelor’s degree with 2 years of experience in the administrative professional/customer service field.
  • Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, and Excel) to maintain calendars, coordinate meetings and compose briefings, reports, correspondence, and memorandum.
  • Mastery of digital collaboration tools (Zoom, Teams, etc.) and knowledge of protocols for virtual or hybrid gatherings, understanding features (chat, screenshare, breakout rooms), ability to troubleshoot and solve minor issues in real time.
  • Experience in planning and providing logistical support for meetings and events, including making catering arrangements.
  • US Citizenship.

 

Preferred Qualifications:

  • Government/Military/Aerospace and Defense industry experience.
  • Experience supporting multiple members of senior level management.
  • Previous support of geographically dispersed teams.
  • Experience in reviewing and editing written material for correct spelling and grammar.
  • Knowledge of NGC resources, policies, and procedures.
  • Advanced experience with Concur (or similar) travel and expense reporting system.
  • SharePoint (or equivalent), and intranet/internet proficiency.
  • Ability to obtain/maintain Secret security clearance.

Primary Level Salary Range: $57,500.00 - $95,900.00

The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.

Depending on the position, employees may be eligible for overtime, shift differential, and a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
