Position Title: Membership Coordinator
FLSA Classification: Full-Time; Exempt
The Country Music Hall of Fame and Museum has an opening for a full-time, exempt Membership Coordinator in our Development department.
Company Overview: Located in the heart of downtown Nashville, the Country Music Hall of Fame® and Museum documents and interprets the history of country music – a musical genre and culture central to the identity of the city, the state, and the nation. Accredited by the American Alliance of Museums, the museum proudly combines subject expertise, ambitious research, and preservation of an unparalleled collection with expressions of creativity in music, art, and history. The museum collects artifacts that illustrate the evolving history and traditions of country music and provides diverse learning opportunities through educational programs, publications, and exhibitions. The core exhibit follows the story of country music from its folk beginnings through its evolution as a commercial art form. Rotating exhibits examine a broad range of topics, from country classics to contemporary and emerging artists in the American Currents: The State of the Music exhibit. The museum owns Hatch Show Print, a letterpress print shop opened in 1879, and it operates Historic RCA Studio B, where Elvis Presley and many others recorded.

Department Overview: The Development department oversees all philanthropy on behalf of the museum, which includes museum membership; annual, major, and planned giving; special events, which range from exhibition opening receptions to fundraisers; as well as foundation, corporate, sponsorship and government giving programs. We also steward relationships with Country Music Hall of Fame members; the broader music community; elected officials; local, state, and national arts organizations; and museum donors. We are constant advocates for the arts on local and national levels, and we publish strategic communications on the museum’s behalf, such as the annual report. Our goal is to provide excellent stewardship to all who make gifts of time, talent, and treasure in support of our mission-focused work.
Position Overview: The Membership Coordinator supports the day-to-day administration, coordination, and communications for the Museum’s general membership program. The position’s regular schedule is Tuesday – Saturday, with some required evenings and weekends. Reporting to and working closely with the Vice President of Development, the Membership Coordinator helps implement the general membership plan and supports efforts to sustain and grow membership revenue through excellent member stewardship, coordinated outreach, and accurate reporting.
Specific Duties Include:
Membership Program Administration
- Steward and retain the Museum’s 4,000+ membership base and recruit new members at each General membership level.
- Provide detailed training for guest experience staff who are stationed at the Membership Desk, Box Office, and Reservations Office.
- Support the development and tracking of annual membership revenue and expense budgets and assist with reconciliations and documentation.
- Plan and support member events including but not limited to: The Big Gig member appreciation concert, Member Breakfast, Member Holiday Reception, and others, alongside the Director of External Affairs Events and Administration and/or External Affairs Events Manager.
- Fulfill member benefits and provide excellent customer service and donor stewardship, working across Museum divisions and departments.
- Provide regular reports and analysis of membership appeals, renewal rates, fundraising activities, and revenue.
- Represent the Museum and its membership program at external and internal events.
- Coordinate and help maintain membership operations, processes, and documentation, recommending improvements as needed.
Collaborations
To seamlessly implement the membership program, the Membership Coordinator must demonstrate strong department collaboration between the Museum’s Frontline, Marketing, Creative, and Development divisions.
In doing so, the Membership Coordinator actively collaborates with the:
Development/External Affairs Division
External Affairs Information Manager, ensuring:
- Membership information is captured efficiently and accurately in Tessitura.
- All memberships are recorded and processed within 24 hours, and membership cards are mailed within 10 business days of when the gift is received.
- Accurate reconciliation of membership revenue and expenses.
- Advancement of IT related needs such as donation pages, member reservation web pages for events, and other items as needed.
Frontline
- Meet regularly with Guest Experience and Frontline staff to train staff to conduct membership sales and renewals, VIP experiences, benefit fulfillment, and general member customer service.
- Communicate with the Reservations Team to train staff to conduct membership sales
- Communicate with the Retail Operations and E-Commerce to facilitate member specific website sales, discounts, etc.
Creative & Marketing Division
- Work closely with Creative and Marketing Departments to produce member brochures, newsletters, direct mail pieces, evites, and website content.
Community Outreach
- Work with the Museum’s Education Team to steward Family Community Counts members, which is a family membership scholarship/subsidy program for Davidson and bordering counties’ families and grants access to the Museum and membership benefits at a discounted rate.
Minimum Requirements:
- Bachelor’s degree in a related field.
- Experience in fundraising, preferably at a museum or cultural organization.
- Knowledge of fundraising principles and experience achieving revenue goals.
Preferred Qualifications:
- Experience managing volunteers.
- Experience with database and project management software.
Key Qualifications (Knowledge, Skills & Abilities):
- Experience with customer service.
- Possess excellent interpersonal skills and be able to work well with and interact with a broad spectrum of personalities and diverse populations.
- Must have the ability to resolve conflicts and respond to inquiries in an appropriate and efficient manner.
- Must have flexibility to attend member events and programs in evenings and on weekends.
Conditions of Employment:
- Weekend work is a requirement. The schedule for this role is Tuesday – Saturday. Hours may include occasional nights, weekends, and holidays.
