Job Description
The Personnel & Payroll Specialist II serves as a critical member of the Faculty and Employee Administrative Operations (FEAO) team within the Department of Medicine (DOM). This position is responsible for the day-to-day administration of payroll operations and faculty compensation actions for one of the largest departments within the School of Medicine. This position will also assist with coordination of appointments, reappointments,
terminations, and various other employment actions for the non-permanent research positions within the DOM. In addition, this position will assist with coordinating the various visa applications, submission, and renewals for all of the non-US citizen employees within the DOM. Incumbent is expected to be professional with the ability to work independently, but at times must work well in a group setting. Prior University knowledge and experience is preferred.
Serves as a primary contact on multiple planning and evaluation of resource projects and provides support and guidance. Develops new procedures and policies to improve payroll processes. Reviews and corrects record changes, payroll actions, employment forms, and payroll registers and oversees recruitment actions, requests, and reclassifications. Creates and maintains database, analyzes data, and prepares complex reports and proposals. Facilitates the automated salary increase process and ensures accuracy and compliance with policies and regulations.
- Directly responsible for reviewing and reconciling the University Dept of Medicine bi-weekly and monthly payroll registers. Verify the accuracy of all salary information on each register & research and correct any discrepancies. This entails working directly with FEAO team members to understand the actions that are being processed and working with the University’s HR and Payroll offices to ensure the resolution of discrepancies.
-Monitor and manage the Department of Medicine Payroll inbox, ensuring timely review and action on all incoming payroll-related communications and requests.
-Receive, review, and process Faculty Compensation Change Form (FCCFs) requests submitted by DOM divisions, ensuring completeness, accuracy, and compliance with University policy.
-Execute PittWorx actions (University of Pittsburgh's HRIS system) for FCCFs, supplementals, and other payroll related actions.
-Assist with coordinating various visa applications, submission, and renewals for all of the non-US citizen employees within the DOM.
-Assist with the coordination of appointments, reappointments, terminations, and various other employment actions for the non-permanent research positions within the DOM.
-Participate in special projects including but not limited to annual staff service gift distribution; faculty and staff annual compensation letter distribution; other projects that are assigned to the FEAO team.
-Primarily sedentary work performed on a computer for extended periods of time.
-Frequent use of a keyboard, mouse, and telephone/headset.
-Regular participation in virtual meetings via video conferencing platforms, as well as occasional in person meetings.
-Occasional standing, walking, or movement within the office environment.
-Ability to view a computer screen for prolonged periods.
-Minimal lifting required; may occasionally lift or carry items such as files, documents, or office supplies, not to exceed 10 pounds.
