The Contractor Coordinator provides oversight and leadership for resident, non-resident, and 3rd party contract resources doing work onsite in support of, operations, maintenance, or capital projects. This role ensures contract resources provide services in accordance with site expectations for HSE, Cost, Quality, Reliability, and Productivity.
A Day in the Life
• Manages assigned contractor(s) to ensure personnel are qualified to execute their work safely and efficiently.
• When requested, fulfills the duties of Contractor Host, and supports other personnel who are acting as contractor Host as described in the Site Contractor/Visitor Management Procedure (HSE-301-108).
• Leads contractor onboarding efforts.
• Conducts field safety observations and post work evaluations.
• Serves as the primary liaison between resident contractors, non-resident contractors, and site personnel; actively engaging contractor personnel to understand issues and opportunities, and providing documented guidance, coaching, and assistance to address them.
• Serves as a point of contact for 3rd party contractor accountability during plant incidents.
• Ensures contractor participation in site safety programs
• Participates in safety huddles and partners with HSES personnel to communicate any procedural changes that affect the contractor company.
• Ensures that contractor incidents are properly reported, informs site management, and enters the incident reports into Intelex.
• Performs regular housekeeping/safety inspections for shop and work areas used by in-house contractors.
• Assists in completing each resident contractor’s Annual Contractor Safety Audit, in partnership with a site HSE Representative.
• Ensures adherence to site capital construction and maintenance schedules. Reviews schedules, providing planning and constructability feedback as necessary.
• Provides regularly updates to the site the scheduler and PMC’s to keep them appraised of status and support the development of daily and weekly work schedules.
• Communicates contractor work schedules to the appropriate maintenance supervisor, PMC, Specialist, and the Scheduler.
• Works with contractor groups and site stakeholders to drive alignment on work priorities.
• Engages area specialists, HSE personnel, technical staff, and project team resources for support, as needed.
• Reviews purchase order details & processes service entries to ensure consistent, accurate billing; and processes contractor time in the Track system as applicable. Works with Procurement, suppliers, and Accounts Payable personnel, as needed, to troubleshoot and resolve billing issues.
• Works with Plant Maintenance Coordinators and Finance personnel to properly accrue work that is in-progress or has been completed.
• This role may require certifications such as excavation competent person, scaffold competent person, or others to facilitate work at the Clinton Plant.
• The contractor coordinator occasionally carries Maintenance Duty with responsibility for maintenance support activities during off-hours.
• Engages site work process owners to refine processes to address inefficiencies and opportunities identified through both observation and feedback.

You Bring This Value
• High School diploma or GED with 5 years of maintenance/operational experience in the chemical /refining industry.
• Familiarity with reading and interpreting equipment and site drawings, specifications and project/maintenance QA/QC requirements.
• Good understanding of Planning and Scheduling process along with functional experience with computer tools, such as SAP and Microsoft Office software applications.
• Excellent interpersonal and communication skills (both oral and written) with the ability to effectively interact and communicate with all departments and levels of the organization and also with external suppliers.
• Ability to work with minimal supervision, be proactive, self-motivated, demonstrate the ability to handle multiple projects, changing priorities and occasionally heavy workloads which may require work beyond normal working hours.
Preferred Qualifications
• Industrial craft experience as a millwright, electrician, instrumentation technologist, insulator, scaffold builder, painter, or welder/pipefitter.
• 10 years Clinton Plant experience or applicant must be able to demonstrate equivalent experience in an industrial setting.
