We are seeking a Distribution Operations Specialist to join our fast-growing, collaborative team. Key Responsibilities and Duties:

 

Summary:

 

We are seeking an experienced Distribution Operation Specialist in Sales Operations department to manage our distribution channel. The primary focus of this role is to act as the central data pivot point, ensuring accuracy and integrity of channel data. You will support regional sales teams and distribution management teams by entering distribution data, managing POS data, auditing inventory reports, processing project registration and price requests in CRM/ERP systems, and maintaining accurate project registration records.

 

1. Distribution Data Entry & Record Management:

  • Project & Lead Entry: Manually input new project registrations, customer profiles, and lead details into the CRM (D365/Salesforce).
  • Sample Request Processing: Log all sample requests for distributors directly into the CRM Sample Module, ensuring correct part numbers, quantities, and shipping details.
  • Database Maintenance: Audit the CRM daily to fix typos, merge duplicate accounts, and update expired project dates to maintain data integrity.
  • Status & Tracking Updates: Real-time updating of project "milestones" and inputting tracking numbers into the CRM once samples have shipped.
  • Performance Reporting: Prepare monthly, accurate reports (Sales vs. Forecast, Inventory Health) in Excel for management review.

2. Reporting & Documentation:

  • Standard Exports: Run weekly raw data pulls from the CRM for Point of Sale (POS), Inventory, and Pending Quotes.
  • Template Formatting: Clean and format exported data in Excel (sorting, filtering, and table organization) for management review.

 

3. Operational Support:

  • Inbox Monitoring: Manage the central operations email alias to triage basic distributor inquiries.
  • Support Routing: Answer "order status" questions and escalate technical or pricing negotiations to the Regional Sales Managers.

 

Knowledge, Skills, Abilities, and Other Characteristics (KSAO’s)

 

 

  • Skills: Accurate, high-speed data entry; proficiency in Microsoft Excel and Outlook.
  • Abilities: Strong attention to detail to ensure CRM fields are 100% accurate.
  • Characteristics: Process-oriented with a focus on meeting daily submission deadlines.

 

Required Qualifications

 

Basic

 

  • Experience: 24 years in Data entry, admin support, or CRM Coordination.
  • Communication: Professional English; Clear verbal and written English for coordinating with international partners.
  • Technical: Direct experience using a CRM (D365, Salesforce, or similar) is required; comfortable with Excel formatting.
  • Education: Bachelor’s degree in business, Finance, or Engineering.

 

Preferred

 

  • Industry Experience: Previous experience in the Semiconductor industry or electronic component distribution is highly preferred.
  • System Knowledge: Familiarity with Semiconductor-specific data types (e.g., Part Numbers, POS reports, Billing and backlog report, and Ship & Debit).
