Contract Type: International Independent Contractor

Our client is a fast-growing U.S.-based real estate investment and development group focused on scaling residential renovation and new home construction projects across multiple markets. Their team combines operational discipline, high accountability, and hands-on project execution to modernize housing communities and deliver long-term value through efficient construction management and streamlined processes.

They are looking for a highly organized, proactive, and persistent Construction Assistant who can thrive in a fast-moving remote environment and help keep projects moving from start to finish.

Position Summary

This role is ideal for someone who is highly autonomous and capable of owning workflows independently. Since this is a fully remote position, the ideal candidate must be exceptionally organized, self-directed, and comfortable managing multiple priorities simultaneously.

The Construction Assistant will support both rehab and new construction projects by coordinating bids, permits, inspections, contractor compliance, invoices, and documentation. This role involves heavy administrative logistics, frequent contractor communication, and consistent follow-up to ensure deadlines and compliance requirements are met.

The ideal candidate is not only detail-oriented but also resilient, persistent, and comfortable handling high volumes of back-to-back calls and data entry.

Core Responsibilities

Rehab Projects
  • Request and obtain 2–3 contractor bids per project

  • Create Scope of Work (SOW) documents for RFPs alongside the Construction Manager

  • Obtain and verify contractor licenses, Certificates of Insurance (COI), and W-9s

  • Administer contracts, scopes of work, and electronic signatures

  • Request and track invoices

  • Upload and organize all project documentation in Google Drive and Coda

New Home Construction
  • Update new home information in Rent Manager

  • Request and verify contractor COIs and W-9s

  • Request installer invoices

  • Create and manage contract signatures

  • Confirm contractor scheduling and job completion

  • Apply for installation permits and all required permits

  • Track permit approvals and inspections

  • Coordinate electrical, plumbing, building, mechanical inspections, and Certificates of Occupancy (CO)

  • Confirm permit inspections are completed successfully

  • Upload invoices and Manufacturer Certificates of Origin (MCOs)

Ideal Candidate Profile

We are looking for someone whose mentality and work ethic truly stand out. Construction experience is helpful, but personality, communication style, grit, and organization are even more important.

The ideal candidate is:

  • Highly persistent and proactive

  • Comfortable making back-to-back calls for extended periods

  • Strong at holding contractors accountable and following through

  • Extremely organized with documentation, scheduling, and tracking

  • Calm and composed under pressure

  • Adaptable when unexpected project issues arise

  • Detail-oriented and process-driven

  • Strong communicator with excellent interpersonal instincts

  • Able to proactively keep leadership informed without needing reminders

This role is best suited for someone who enjoys blending field coordination with administrative precision and thrives in a high-accountability environment.

Requirements

  • Excellent English communication skills (written and verbal)

  • Strong administrative and organizational skills

  • Comfortable handling contractor compliance and logistics

  • Experience with spreadsheets, project tracking, and documentation management

  • Ability to multitask and prioritize effectively in a remote environment

  • Comfortable with repetitive follow-up and phone-based coordination

  • Construction or property management experience is a plus, but not required
