About the Role
The Benefits & Leave Specialist role will serve as a critical support function within the People Operations team, focused on ensuring employees receive timely, accurate, and compassionate support related to benefits, leave administration, and compliance related matters. This role will act as a key resource for employees and leaders while helping create consistency, reduce organizational risk, and improve the overall employee experience across Adaptive.
As Adaptive continues to grow, the complexity surrounding leave administration, benefits coordination, accommodations, and compliance requirements will continue to increase. Establishing a dedicated Benefits & Leave Specialist allows the organization to proactively manage these areas instead of operating reactively. This role will help ensure compliance with FMLA, ADA, ACA, COBRA, and other applicable regulations while also supporting employees during some of the most important and stressful moments of their lives.
In addition to compliance and administration, this position will have a direct impact on employee trust and retention. Employees who feel supported through benefits questions, medical leaves, accommodations, and life events are more likely to remain engaged and connected to the organization. The role will also improve operational efficiency by centralizing benefits and leave processes, creating clearer communication channels, reducing delays, and allowing HR leadership and HR Generalists to remain focused on broader strategic and operational priorities.
This role is expected to strengthen Adaptive’s overall HR infrastructure by improving service delivery, supporting scalability, reducing liability exposure, and helping create a more employee centered experience throughout the organization.
Responsibilities
Administer and coordinate employee leave programs including FMLA, ADA accommodations, personal leaves, parental leave, and workers’ compensation related absences
Serve as the primary point of contact for employee benefits questions, enrollment support, qualifying life events, and benefits issue resolution
Manage leave documentation, certifications, return to work processes, and required compliance tracking to ensure timely and accurate administration
Partner with employees and leaders to navigate accommodation requests and interactive process discussions in alignment with company policy and legal requirements
Maintain accurate employee benefits and leave records within HRIS systems and ensure confidentiality of sensitive employee information
Coordinate new hire benefits enrollment and support open enrollment planning, communication, and employee education efforts
Audit benefits invoices, eligibility files, and payroll deductions to ensure accuracy and resolve discrepancies with vendors or payroll teams
Respond to employee inquiries submitted through the benefits and leave support inboxes in a timely and professional manner
Partner with payroll to ensure accurate leave pay coordination, benefit deductions, and status updates during employee absences
Monitor leave timelines and proactively communicate with employees and leaders regarding upcoming deadlines, documentation needs, and return to work expectations
Assist in developing and maintaining benefits, leave, and accommodation policies, procedures, and employee resources
Support HR leadership with compliance reporting, audits, ACA tracking, and documentation requests related to benefits and leave administration
Build and maintain positive relationships with benefit brokers, insurance carriers, leave vendors, and third-party administrators
Identify opportunities to improve benefits and leave processes, employee communication, and overall service delivery experience
Support employee education initiatives related to wellness programs, benefits utilization, and available employee resources
Maintain strong knowledge of federal, state, and local regulations impacting benefits, leave administration, and employee accommodations
Qualifications
5+ years of experience in benefits administration, leave administration, human resources, or a related people operations role
Working knowledge of FMLA, ADA, COBRA, ACA, and general leave and accommodation processes
Ability to handle sensitive and confidential employee information with professionalism and discretion
Strong organizational skills with the ability to manage multiple cases, deadlines, and employee requests simultaneously
Excellent communication and interpersonal skills with the ability to support employees through complex or emotional situations
Experience maintaining accurate records and documentation within HRIS or benefits administration systems
Ability to work independently while also collaborating effectively with HR, payroll, operations, and leadership teams
Strong attention to detail and ability to identify discrepancies, compliance concerns, or process gaps
Comfortable navigating employee conversations related to benefits, medical leave, accommodations, and policy interpretation
Proficiency with Microsoft Office applications including Outlook, Excel, and Word
Ability to prioritize tasks in a fast paced and growing environment
Commitment to providing a high level of employee service and support
Preferred:
Experience supporting benefits and leave administration within a healthcare, home health, or multi location environment
Familiarity with ADP Workforce Now or similar HRIS and benefits platforms
Experience working with leave management vendors, insurance carriers, or third-party administrators
Knowledge of workers’ compensation coordination and return to work processes
Experience creating or improving HR workflows, documentation processes, or employee resource materials
Familiarity with healthcare compliance environments or operational support structures tied to clinical teams
Experience managing shared HR inboxes or ticket-based employee support workflows
Exposure to onboarding, credentialing, or employee compliance tracking processes
HR certification or coursework related to benefits, leave administration, or employment law
Experience supporting rapidly growing organizations with evolving HR infrastructure
