Position Summary

Under the direct supervision of the RN Health Center Administrator, the Patient Experience Supervisor provides leadership and operational support to Medical Office Assistants (MOAs) while ensuring an exceptional patient experience throughout the health center.

This role oversees front-office operations including patient registration, scheduling, insurance verification, billing support, and customer service standards. The Patient Experience Supervisor partners closely with the Patient Care Supervisor and clinical team to support efficient workflows, patient satisfaction, staff development, and compliance with organizational procedures.

The ideal candidate is organized, customer-focused, detail-oriented, and comfortable leading a fast-paced healthcare front office environment.

Key Responsibilities

Front Office Operations

  • Supervise Medical Office Assistants to ensure efficient daily operations and excellent customer service
  • Oversee patient registration, scheduling, insurance verification, co-pay collection, and accurate EHR documentation
  • Ensure phone messages, eligibility issues, administrative tasks, and patient concerns are resolved within established timeframes
  • Conduct daily huddles to review schedules, staffing needs, and operational priorities
  • Monitor compliance with front-office workflows, registration standards, and health center procedures
  • Perform daily cash reconciliation, batch closing, and weekly bank deposits in accordance with agency policy
  • Coordinate equipment maintenance, supply needs, repairs, and inspections
  • Serve as Safety Site Coordinator and support compliance with safety standards

Leadership & Staff Development

  • Train and onboard newly hired Medical Office Assistants
  • Conduct performance evaluations and support coaching and corrective action processes when needed
  • Approve employee time punches through ADP and assist with staff scheduling coordination
  • Foster a professional, collaborative, and respectful work environment that supports employee engagement and morale

Quality & Compliance

  • Partner with the Patient Care Supervisor to support timely and accurate claim submission
  • Audit insurance eligibility and income verification documentation for accuracy and compliance
  • Support quality improvement initiatives through reporting, auditing, and staff coaching
  • Communicate policy and workflow updates to staff and assist with implementation
  • Monitor reminder calls and no-show follow-up processes to support patient engagement

Patient Experience

  • Deliver exceptional customer service in a fast-paced healthcare environment
  • Respond to patient questions and concerns professionally and compassionately
  • Serve as a resource for patients and visitors entering the health center
  • Promote a welcoming, efficient, and patient-centered environment

Qualifications

Education & Experience

  • High School Diploma or GED required
  • 2–5 years of experience in a clinic, medical office, or hospital setting required
  • Previous Medical Office Assistant (MOA) experience strongly preferred
  • Supervisory or leadership experience preferred
  • Experience with Electronic Health Records (EHR) systems preferred

Preferred Skills & Competencies

  • Strong organizational, communication, and leadership skills
  • Ability to multitask and prioritize in a fast-paced healthcare environment
  • Strong attention to detail and problem-solving abilities
  • Proficiency with Microsoft Office and healthcare technology systems
  • Bilingual English/Spanish strongly preferred

Additional Requirements

  • Valid driver’s license and current auto insurance required
  • Ability to work evenings, weekends, and scheduled holidays as needed
