Job Requirements

Join our Talent Technology team at UMMS! This analyst position is a vital part of the management and upkeep of our ATS, CRM, and preboarding system, Phenom. This position requires 1 - 2 days in office per week in Linthicum Heights, MD.

Responsible for the maintenance of the Talent Acquisition’s end-to-end recruiting product, Phenom, and all associated integrations. Partners closely with Manager, Talent Technology and Workforce Planning.


Serves as a technical point-of-contact for assigned functional areas and assists subject matter experts with ensuring data integrity, testing of system changes, report writing and analyzing data flows for process improvement opportunities. 


Also supports all Phenom upgrades, integrations, patches, testing and other technical projects as assigned. Gathers and analyzes user needs for developing and modifying systems and participates in fit-gap analysis and functional design discussions. This role is support-level integration and system ownership.

• Responsible for the overall operations of the Phenom system. Ensures day-to-day operations function in the desired state for all products including, but not limited to ATS, CRM, and preboarding. Ensures data accuracy, governance, and integrity across the Phenom system and integrations. Implements audit control steps to ensure data integrity and compliance with established standards. 


• Provides Phenom support and guidance to end users. Serves as point of contact for resolution of simple to complex problems. Assesses problems and identifies resolutions and root causes. Responsible for and oversees day-to-day tracking and follow-up on technical and application issues and questions. Maintains ServiceNow ticketing queue and Phenom Support inbox.


• Performs and coordinates analysis, design, development, testing and support services for monthly Phenom updates and associated integrations. Performs and coordinates application analysis and impact analysis of new or different applications, processes or changes. Partners with internal stakeholders to evaluate change requests, determine scope and feasibility, and recommend action and next steps to leadership. Partners with Phenom development and engineering teams to understand, propose, and evaluate solutions.


• Prepares written documentation of various types; application documentation, analytical reports, functional specifications, training manuals, status reports, testing documentation, etc. Creates, evaluates and instructs/teaches others as required. Working knowledge of integrations including APIs, webhooks, and SFTP, with the ability to troubleshoot data flow issues, validate outputs, and partner with technical teams on resolution.


• Designs workflow to maximize productivity and client service. Leverages data to drive process improvements and identifies opportunities to improve recruiter efficiency and candidate experience.


• Perform all other duties as assigned.

 



Work Experience

Required

• Bachelor's Degree in information management or technology, or an equivalent combination of education and experience required.

• Five to seven years’ experience in information system applications including end-user support, report development, system analysis for business needs, and ad-hoc analysis and auditing of system data required.

 

Education & Experience - Preferred, not required

• Previous HR systems experience, an understanding of APIs, SFTPs, and webhooks, and SQL knowledge including query design, is strongly preferred.

• High-level understanding of talent acquisition processes and compliance practices is preferred.


Knowledge, Skills, & Abilities

• Working knowledge of Phenom ATS/CRM or similar system (eg, iCIMS, Workday, Greenhouse). Ability to configure at an application level to include automations, reports and dashboards.

• Ability to perform and teach analysis and problem-solving principles with emphasis in user relations, data gathering techniques, and Talent Acquisition information applications to HR staff is required. Serves as a resource to others in the resolution of complex problems and issues. 

• Demonstrates ability to develop complex specifications for all aspects of applications, and familiarity with problem analysis, hardware/software configurations and application integration.

• Ability to teach process changes to the end user community, including application functionality and problem-solving tools.

• Effective customer service skills, with the ability to work with all levels within the organization.

• Effective verbal and written communication skills are necessary to advise and consult with user personnel and make formal presentations of project findings and recommendations.

• Excellent organization skills; demonstrates confidence and creativity.

• Support testing and deployment activities.
