About The Division:
Work in Support Services as a Support Services Specialist! Work involves general support services to the agency. This includes staffing the front desk to monitor staff and visitors to the building, assisting with badging and keys, and assistance to program staff, government agencies, community organizations, or the general public. It also involves providing operational building support such as moving office furniture and/or equipment, assembling office furniture, and driving agency vehicles for deliveries. You will also provide assistance in the mail room by sorting and delivering incoming and outgoing mail, inventorying, and performing data entry.
Monday through Friday, 40 hours a week with occasional evening, weekend hours and holidays. Hours may change based on business need.
Minimum Qualifications
· Graduation from an accredited high school or successful completion of the General Education Development test (GED).
· 2 years of experience with customer service/support and administrative support work.
· 2 years of experience with building security or monitoring security stations.
· 1 year of experience using Microsoft Word, Excel and/or other Microsoft Office Suite applications.
· Experience using small hand tools (e.g., level, hammer, screwdriver, drill, circular saw) in a work environment.
· Experience moving heavy objects such as office furniture, and equipment.
Preferred Qualifications
· 2 years of experience working with S2 badging software.
· 2 years of experience with monitoring and viewing building security camera systems.
· Experience working with modular furniture components.
· Experience driving a large van/ ¾ ton truck to make deliveries.
Licenses and Certifications
· A valid Texas (or state of residency) driver’s license and a satisfactory driving record are a condition of employment. Applicants offered an interview must present the following documents at or before the interview: A state issued driving record for the last 36 months, valid Texas driver’s license (or state of residency driver’s license) and current proof of automobile insurance.
In this role you will:
Access Control:
· Provides employee safety assistance to include staffing the monitor station, reviewing building video monitors, visitor sign-in and employee compliance with badge requirements.
· Assists division with employee badging as well as corresponds with the Texas Department of Public Safety & Texas Facilities Commission for building access issues.
· Assists with building key issuance.
· Assists Support Services personnel during building emergencies following established procedures.
Support Services Operations:
· Moves office furniture and/or equipment while observing all safety precautions.
· Assembles modular furniture for office and agency moves.
· Prepares items for storage and organizes storage space.
· Operates motor vehicles such as automobiles, vans, trucks to pick up and transport passengers and various types of cargo.
· Reports building maintenance and/or cleaning concerns to Texas Facilities Commission using a computer.
Administrative Duties and Mail Operations:
· Answers and routes telephone calls, greets visitors, and makes follow up calls to employees to ensure building concerns are reported to Support Services and addressed.
· Enters data into and maintaining spreadsheets, ServiceNow software, responds to emails, creates Microsoft Word documents.
· Sorts and delivers incoming mail and prepare outgoing mail.
· Assists with performing delivery and messenger duties.
Performs other related duties as assigned.
