POSITION SUMMARY:
This role provides administrative, operational, and instructional support for the Command Language Program across multiple military training locations. The role is responsible for coordinating and managing language training activities, maintaining student and program data, supporting enrollment and reporting processes, monitoring training progression, and ensuring continuity of operations between military leadership, instructors, and program management staff. Responsibilities include managing training documentation, tracking attendance and assessment data, preparing reports and briefings, supporting classroom and instructor activities, and assisting with the execution of command language training requirements in a fast-paced and highly organized environment.
This position also supports the development and delivery of instructional and multimedia training materials using advanced technical tools, data-management systems, and AI-assisted workflow solutions. This includes creating and maintaining digital learning resources, automated reporting tools, presentations, interactive training content, and multimedia products that enhance instructional effectiveness and operational efficiency in both classroom and distributed learning environments.
ESSENTIAL RESPONSIBILITIES:
- Coordinate and support daily operations of language training programs across multiple locations.
- Provide administrative, operational, and technical support to military leadership, instructors, students, and program management staff.
- Process, review, track, and maintain student enrollment packets, training documentation, and program records.
- Maintain student databases, attendance records, accountability reports, training trackers, learning-style questionnaires, assessment records, and other program documentation.
- Compile, validate, analyze, and submit weekly, quarterly, annual, and ad hoc reports related to training operations, attendance, assessments, and program performance.
- Monitor and maintain Individual Language Training Plans (ILTPs), training schedules, and student progression data.
- Coordinate student notifications, welcome packets, enrollment confirmations, course schedules, and in-processing activities.
- Support classroom in-briefs, orientation sessions, and instructor-led training activities.
- Track and collect pre-course and post-course assessment data and maintain associated reporting metrics.
- Administer and compile student critiques, evaluations, surveys, and instructor feedback documentation.
- Maintain communication and coordination with program personnel to ensure continuity of operations and standardized program execution.
- Prepare briefings, presentations, statistical summaries, operational updates, and training metrics for leadership and stakeholders.
- Maintain and update Standard Operating Procedures (SOPs), training materials, forms, templates, and administrative guidance documents.
- Coordinate classroom logistics, visitor access requests, facility scheduling, and training support activities.
- Provide customer service and liaison support between military personnel, instructors, students, and contractor staff.
- Develop and maintain instructional materials, multimedia learning products, digital resources, and classroom support materials.
- Create and update eLearning content, interactive training tools, presentations, videos, and instructional documentation for classroom and distributed learning environments.
- Support Learning Management System (LMS) integration and digital training activities, including Canvas-based instructional support.
- Develop interactive learning exercises, instructional templates, automated workflows, and training support resources.
- Produce and edit multimedia content including audio, video, interactive PDFs, and digital instructional materials.
- Support modernization and process-improvement initiatives through automation, workflow optimization, and AI-assisted content development.
- Manage and maintain extensive operational and training data utilizing spreadsheets, databases, and reporting systems.
- Develop automated spreadsheets, dashboards, trackers, pivot tables, charges, and reporting tools using advanced Microsoft Excel functionality.
- Validate and audit reports and datasets for accuracy, completeness, and consistency.
- Support fiscal-year and quarterly reporting requirements through consolidated data analysis and reporting.
- Review and support timesheet processing, labor tracking, and related administrative functions.
- Maintain inventories of instructional materials, classroom resources, multimedia equipment, and training assets.
- Support in-person, hybrid, and remote learning operations, as required.
- Coordinate multiple concurrent projects, priorities, and deadlines in a fast-paced operational environment.
- Perform additional duties and special projects as assigned and as appropriate under Service Contract Act (SCA) in support of organizational and mission requirements.
QUALIFICATIONS:
- Associate’s degree in business administration, education, instructional technology, organizational management, or a related field required. Bachelor’s degree in identified field(s) is highly desired.
- Minimum of three (3) years of experience in administrative support, program coordination, training operations, instructional support, education services, military support services, or a related professional environment.
- Must possess the ability to work in sensitive environments requiring a national agency background investigation (NACI).
- Familiarity with military regulations, training management process, student tracking systems, distributed learning environments, or operational reporting requirements, highly desired.
- Experience supporting Defense Language Institute (DLI), PLPT, ILR, or military language training environments in a CLP Coordinator role supporting cultural initiatives and specialized training programs across multiple target languages and/or dialects.
- Advanced proficiency in Microsoft Office applications, particularly Microsoft Excel, including experience with formulas, pivot tables, dashboards, charts, conditional logic, automated reporting tools and macro-enabled workflows, data visualization techniques, and dynamic functions (dynamic arrays, filtering, sorting, and query-based extraction).
- Proficiency with Microsoft Word and PowerPoint, including development of professional documents, templates, forms, presentations, and instructional materials.
- Advanced experience developing and managing interactive fillable PDF forms and templates, including digital signature integration, automated calculation fields, reporting templates, and standardized documentation; ability to create professional brochures, guides, smart cards, reference materials, and instructional publications for operational and training environments.
- Experience utilizing multimedia and eLearning development platforms such as Camtasia and Adobe Audition to create and enhance instructional videos, audio products, interactive presentations, and LMS-compatible training content; includes multimedia synchronization, audio enhancement, instructional video production, and development of interactive learning materials for classroom, hybrid, and distributed learning environments.
- Experience leveraging AI-assisted technologies and workflow automation tools to improve productivity, streamline operational processes, and support instructional content development; includes prompt engineering, automated content generation, AI-enhanced transcription platforms, and development of AI-supported instructional and administrative workflows aligned with organizational objectives.
- Demonstrated ability to coordinate multiple projects, operational requirements, and competing priorities simultaneously while maintaining accuracy, organization, and attention to detail in a fast-paced environment.
- Strong program coordination and training administration skills, including experience managing records, processing documentation, maintaining databases, tracking metrics, preparing reports, and supporting operational or training activities across multiple stakeholders or locations.
- Excellent written and verbal communication skills with the ability to effectively interact with military personnel, leadership, instructors, students, contractors, and support staff in a professional and customer service-oriented manner.
- Strong organizational effectiveness skills with the ability to independently manage workflows, prioritize tasks, meet deadlines, and support continuity of operations with minimal supervision.
- Demonstrated analytical and problem-solving abilities, including the ability to review, validate, and interpret data; identify discrepancies; implement corrective actions; and support process-improvement initiatives.
- Ability to maintain professionalism, discretion, and confidentiality while handling sensitive information, personnel records, operational data, and organizational communications.
- Demonstrated collaboration and interpersonal skills with the ability to work effectively as part of a team while also operating independently to accomplish mission and organizational objectives.
- As appropriate, successfully complete the Contractor-provided Pre-Service Instructor Certification (PSICP).
- Ability to comply with assigned federal contract requirements including training materials, duties assigned, and site-specific access control procedures, and security protocols.
- Ability to obtain and maintain access to assigned government installations and systems.
- Ability to travel up to 15% to military installations, training sites, meetings, or other locations with potential overnight travel in support of operational and training requirements.
SECURITY CLEARANCE:
All personnel hired are required to possess and maintain a favorably adjudicated National Agency Check with Inquiries (NACI) investigation as a condition of employment.
WORK ENVIRONMENT:
Work is performed primarily in a professional office, classroom, training-center, and military installation environments supporting language-training and operational activities. This position requires:
- Prolonged periods of computer usage, data entry, spreadsheet management, report development, multimedia production, and virtual collaboration utilizing multiple software platforms and digital systems simultaneously.
- Frequent interaction and coordination with military personnel, instructors, students, leadership, contractors, and program staff in both in-person and virtual environments.
- Frequent use of office equipment and instructional technologies including computers, printers, scanners, audio/visual equipment, presentation systems, video conferencing platforms, and multimedia production tools.
- Occasional lifting, carrying, or movement of training materials, classroom supplies, presentation equipment, or office materials up to approximately 20 lbs. may be required.
