- Manage stipend setup and onboarding process for ~170-200 Learning Assistant appointments and ~15-20 LA Mentor appointments per semester (Fall and Spring). Manage stipend setup for ~5-10 Learning Assistant appointments in Summer terms.
- Maintain an accurate, systematic process for compiling student information, verifying funding, and tracking status of Human Capital Management (HCM) entries.
- Work in collaboration with the HR Service Center (HRSC) to set up student stipends, following appropriate HR processes and procedures, verify accurate entry into HCM and work with HRSC to resolve errors as needed.
- Work in collaboration with the Office of Financial Aid to report student stipends each semester.
- Communicate and support students who are selected as LAs in navigating onboarding and stipend payment processes. Respond to, research, and resolve issues promptly.
- Manage [email protected] email account daily and respond and/or route to other team members, as appropriate. Serve as a primary point of contact for all LA Program associated faculty, students, staff, and other interested parties.
- In collaboration with team members, develop and implement a multifaceted communication and marketing plan for LA Program, integrating a variety of communication tools and platforms (i.e. online calendars, social media, website, flyers, logos, photos, videos, print and other materials).
- Keep LA Program website updated.
- May supervise and direct student workers in the design and distribution processes of promotional materials.
- Collaborate with team and various campus units to organize, manage, and implement logistical details of program events and ensure high quality experiences within budget.
- Secure reservations for large event spaces on campus, develop and finalize catering orders within budget, ensure appropriate levels of staffing, secure parking passes for program staff, supervise setup and teardown, manage reception desk, purchase and transport all needed materials.
- Schedule and supervise student employees for loading, unloading, set up, and break down for main events.
- Follow and adapt current processes and timelines for event planning, implementation, and follow-up within LA Program project management platform.
Financial, Procurement, and Expense Reconciliations
- Manage procurement processes for LA Program.
- Compile and submit appropriate documentation, ensuring adherence to CU policies and processes working in collaboration with VCAA Financial Service Center.
- Data collection and reporting: Use multiple business platforms to track program data, including LA Campus software. Compile requested data for program director and team to incorporate into semester and annual reports, and other needs, as requested.
- Learn and maintain knowledge of CU business platforms (i.e. Concur, Marketplace, etc) and related processes and policies by attending and participating in relevant meetings and workshops and referring to available training and resources.
- Evaluate program operating procedures and recommend changes to program director to assure compliance, accuracy, and efficiency.
- Organizational management and collaboration: Maintain program files and tools across various platforms to support collaborative team environments.
- Manage LA Program office, meeting, and storage spaces, including management of room reservations, scheduling maintenance, and ensuring that spaces remain clean, organized, and welcoming for all who utilize the spaces.

- Bachelor’s degree.
- 1+ years of professional, job-related experience.
- Equivalent combination of education and experience may substitute.
- Strong teamwork, willingness to share ideas and provide feedback on other’s ideas.
- Ability to work independently, providing opportunities for director and team to give feedback and direction on drafts and next steps.
- Strong communication skills, utilizing both asynchronous and real-time modes as necessary to provide updates, ask questions, provide input, and clarify expectations and next steps on processes and products.
- Strong organizational skills and attention to detail.
- Enthusiasm to learn new systems and software for managing day-to-day operations.
- Competency in data management and analysis.
- Google, Microsoft, SharePoint.
- Highly proficient in Excel (data entry, data validation, advanced formulas and functions).
- 2 years of experience in a higher education setting.
- 1-2 years combined experience serving as an undergraduate Learning Assistant or Learning Assistant Mentor.
- HTML, Python, PHP, SQL.
- Familiarity with Adobe Illustrator and Canva.
