Job Description
Responsibilities:
Office Administration:
- Oversee general office operations including managing office supplies, pantry supplies, equipment, and facilities.
- Coordinate and schedule meetings, conferences, and appointments and client visits in tandem with the operations.
- Coordinate company events and support HR employee engagement activities
- Maintain a tidy and organized office space conducive to productivity.
- Front office management – reception, mailroom, namecard, security pass etc
Logistics Support:
- Collaborate with teams to ensure seamless coordination between office and operations.
- Assist in the documentation and processing of paperwork as per the Ceva processes.
Communication and Coordination:
- Serve as a liaison between different departments within the company.
- Communicate with clients, suppliers, and vendors to facilitate smooth logistics operations.
- Respond promptly to internal and external enquiries.
- Respond to and address employee concerns or requests related to facilities.
- Support in communicating important updates and changes in facilities policies or procedures.
Financial Administration:
- Assist in managing budgetary responsibilities related to office expenses.
- Validate invoices and ensure timely payments to vendors.
Facilities Management Support:
- Oversee day-to-day operations of the office / warehouse, ensuring a clean, safe, and efficient working environment.
- Conduct periodic warehouse facility inspections. Support in carrying our Preventive Maintenance System Plan (PMS)
- Coordinate with facilities staff to address maintenance and repair needs promptly.
- Manage office supplies, equipment, and furniture inventory.
- Work closely with real estate leader in optimization of office space utilization.
- Coordinate office layouts and relocations as needed.
- Collaborate with facilities teams to implement space-related improvements.
Vendor Management (Office Management):
- Liaise with vendors and service providers in close coordination with Procurement to ensure the timely delivery of facilities-related services.
- Support in contracts and agreements with external suppliers.
- Obtain quotes and proposals for facility-related projects.
Fleet Management (corporate cars):
- Organize with HR the delivery of cars.
- Manage contracts and agreements with external suppliers and procurement.
- Manage the local fleet.
- Support driver for monthly expense claim, overtime application form checking, etc
