PARA Scale TITLE: Bus Garage/Maintenance Secretary
REPORTS TO: Transportation Director SUPERVISES: N/A JOB FUNCTION: Perform duties in the office to assist bus garage and maintenance staff in the daily operation of their departments.
DUTIES AND RESPONSIBILITIES:
Serve as the primary administrative support for the transportation and maintenance departments.
Answer phones, respond to emails, and communicate effectively with staff, drivers, vendors, and the public.
Maintain accurate records for bus routes, driver assignments, maintenance schedules, and vehicle inspections.
Process work orders for bus and facility repairs; track progress and ensure timely completion.
Schedule routine maintenance, inspections, and service appointments for buses and district vehicles.
Maintain inventory of parts, supplies, and equipment; assist with ordering and tracking purchases.
Prepare and process purchase orders, invoices, and reimbursements in accordance with district procedures.
Assist with payroll-related documentation for transportation and maintenance staff (timesheets, leave, etc.).
Maintain compliance records for state and federal transportation regulations (inspections, certifications, etc.).
Organize and maintain filing systems (digital and paper) for transportation and maintenance records.
Assist in coordinating substitute drivers and maintaining driver availability lists.
Support transportation routing updates and communicate changes to appropriate staff and families as needed.
? Compile reports, data, and documentation for audits, state reporting, and administrative review.
? Coordinate communication between schools, drivers, and maintenance staff regarding transportation issues.
? Ensure confidentiality of personnel, student, and operational information.
? Assist with emergency communication and documentation related to transportation incidents.
? Perform other duties as assigned by the Transportation Director or Maintenance Director.
