Project Overview: Bechtel and Westinghouse Electric Company have partnered to deliver the first AP1000 nuclear power reactors in Poland for our customer, the Polish Entity Polskie Elektrownie Jadrowe (PEJ). Bechtel will be the Engineering, Procurement, and Construction (EPC) contractor for the project. As the EPC, our responsibilities will include providing the design for the Turbine Island and Balance of Plant as well as the construction of the entire facility.  This is a one-of-a-kind opportunity, and we are looking for the talent that will help expand Poland’s nuclear base and build a strong and long-lasting energy future for generations to come. This position is subject to U.S. Department of Energy (DOE) regulations at 10 CFR Part 810 (Part 810), which govern the transfer of hardware, materials, and technology to support the construction and operation of commercial nuclear power plants overseas. Job Summary: In this role, you will perform administrative duties that require proficiency, accuracy, judgement, initiative, discretion, and knowledge of protocol. You will handle both routine and complicated items. Your ability to anticipate problems and changing priorities will help bring efficiency and organization to your team. Work Schedule: 5 days a week working 8 hours a day Work Hours: 9:00 AM to 5:00 PM Reports to the Bechtel Project O&AS Manager / Project Field Engineer Manager Major Responsibilities: Receptionist workstation is located at the FRONT DESK on 9th floor Front Desk & Visitor Services Provide front desk reception services, including greeting and directing visitors, employees, and business partners. Serve as the primary point of contact for general office inquiries and visitor assistance. Escort visitors within the office facilities as required. Greeing all guests, clients, vendors, subcontractors and consortium members in reception, directing them to meeting rooms, and determining refreshment preferences (i.e. coffee, tea, or water) and deliver to guests. Ensure proper refreshment supplies are available and notify Bechtel Office Administrator or administration team to order supplies as necessary. Coordinate catering requests, encompassing both set up and post event cleanup responsibilities. Order and organize food for meetings. Meeting Scheduling & Office Coordination Support meeting scheduling and organization, including coordinating conference room availability, bookings, changes, and cancellations. Assist employees and visitors with meeting logistics and day‑of coordination. Support meeting readiness activities as required, including basic room preparation and guest assistance. Hospitality & Office Services Support Coordinate and support office hospitality activities, including refreshments and catering arrangements for meetings and visitors. Monitor availability of hospitality and office consumables and report replenishment needs to Office Administration. Support setup and post‑meeting arrangements as required. Administrative & Office Operations Support Receive and manage incoming correspondence, mail, and deliveries, and notify recipients as appropriate. Answer, route, and manage incoming telephone calls and messages. Maintain reception‑related administrative records and logs required for office operations. Provide general administrative assistance to the Office Administration team as directed. Access, Parking & Office Use Coordination Assist with administrative support related to office access processes, including visitor badging handling as directed by Office Administration. Support handling of jobsite badging (issuing and collection of badges). Support coordination and recordkeeping related to parking and office shared resources, as required. Direct access or facilities related inquiries to the appropriate administrative or support teams. Maintain the parking lot logs. General Office Support Maintaining office supplies consumables, order, re-stock the supply room. Assist with maintaining orderly reception, meeting, and shared office areas. Support office communications, signage, and administrative notices as directed. Perform other front desk and administrative support duties consistent with the role and office operational needs. Education and Experience Requirements: Bachelor's degree in administration or a related field from an accredited university or college (office administrative/secretarial experience) with experience, or in lieu of a degree be able to demonstrate extensive, relevant work experience. Must be fluent in Polish and English (speaking, reading, and writing) Proficiency in MS Office software suite of programs (Word, Excel, PowerPoint, Outlook) A skills assessment may be administered to determine proficiency. Required Knowledge and Skills: Polish national local hire Fluent in Polish and English (speaking, reading, and writing) Strong organizational and communication skills Professional, customer‑service‑oriented approach Ability to interact professionally with individuals at all levels within the organization Ability to manage multiple administrative tasks in an office environment.
