Construction Contract Admin
Job Description
As a Construction Contract Administrator, you will play a key role in ensuring the accuracy and integrity of job costing, project billing, and financial reporting. Working closely with Project Managers, Estimating, and Accounting, you will help track project financials, manage contract documentation, and support billing processes to drive accurate reporting and cash flow across all projects.
Duties & Responsibilities:
- Review and administer contracts between Owner and Contractor, ensuring accuracy, compliance, and proper documentation.
- Set up, organize, and maintain all project-related records, including contracts, change orders, insurance certificates, and supporting documentation.
- Track, review, and process Requests for Information (RFIs) and submittals.
- Prepare and process all project-related billings, including progress billings, schedule of values updates, and supporting documentation.
- Monitor job cost data and coordinate with Project Managers and Accounting to ensure accurate cost coding and financial reporting.
- Obtain, verify, and track lien waivers/releases from suppliers and subcontractors.
- Assist with project closeout documentation, ensuring all contractual requirements are met.
- Serve as a liaison among internal teams (Estimating, Project Management, Field Personnel, Accounting) and external partners (suppliers, subcontractors, customers, lenders).
- Support project teams in maintaining accurate records, timely billing, and smooth project execution.
- Perform occasional project site visits as needed.
Qualifications:
- Previous internship or experience in construction, accounting, or construction administration preferred.
- Strong organizational and time‑management skills with the ability to manage multiple priorities.
- Effective verbal and written communication skills.
- High attention to detail and accuracy in documentation and financial data.
- Ability to work collaboratively with multiple departments and external partners.
