The Department of Physics encourages applications for the Temporary Events Coordinator! This position serves as a highly accessible presence engaging in events, community building, and outreach support for the department. This person will need excellent communication and organizational skills and the ability to successfully handle multiple events while maintaining compliance with State, Funding Agency, University and Department regulations and policies on official functions, procurement and event management.
The research conducted by the faculty, staff, and students in the CU Physics Department is vibrant and groundbreaking across the broad scope of most subfields in physics.
The discovery of the Higgs boson was made at the CERN supercollider, in a collaboration involving our high energy physics faculty. Nobel-prize caliber research is carried out in studies of quantum gases and quantum optics. Condensed-matter theorists and experimentalists unravel the mysteries of many-body systems, including liquid crystals and the quantum mechanical nature of the electrical and magnetic behavior of materials.
Front Desk Support:
- Responsible for the daily tasks of student assistants.
- Provide a high level of customer service to students, faculty, and visitors over the phone and via email.
- Receive, sort, and distribute daily mail/deliveries.
- Handle incoming food requests from faculty, staff, and student groups.
- Assist with copying duties such as exam printing.
Events Planning/Management:
- Work with faculty and departmental staff to organize, plan, lead, and execute events, including department recognition ceremonies and employee appreciation events, alumni and donor relations events.
- Coordinates travel for guests, including lodging, airfare, and ground transportation.
- Assists with the organization, setup, and cleanup of events.
- Delegates tasks as needed to student assistants.
- Work with vendors, caterers, and campus partners to coordinate for events.
- Purchase of weekly official function food supplies at the store.
- Build and maintain positive and effective working relationships with campus staff, departmental partners, and vendor contacts.
- Undertake other duties and responsibilities as assigned.
- Serves as the primary point of contact for event planning needs for the team.
Assistance with Summer Schools and Conference Support: 35%
- Assist the main conference organizer with initial planning, coordination, and implementation of logistics for the department’s summer schools and professional conferences.
- Handle event budgets in conjunction with faculty organizers and financial staff.
- Assist the main conference organizer with logistical coordination for participants, including campus lodging and hotel accommodations, meeting space, dining, catering, transportation, registration, and other administrative support.
- Provide administrative support during the application and registration process for participants, which includes managing databases and organizing data for committee members.
- Generate reports to reconcile total registrations with revenues and expenses.
- Revenue tracking for summer schools and conferences, including preparation, disbursement, tracking, and reconciliation of paid and outstanding invoices from participants.
This role is 100% in-person working Monday-Friday following standard campus business hours. Additional hours outside of the business hours might be required depending events.
The salary range for this position is $24-26.50/hr.
- Bachelor’s degree from an accredited institution.
- A combination of education and relevant experience may substitute for a bachelor's degree on a year-for-year basis.
- Ideally 1 year of relevant experience.
- Must be highly proficient with Microsoft Office Suite products (Outlook, Calendar, Excel, etc…).
- Documented excellence in customer service.
- Ability to multi-task and work with a wide variety of customers while providing great customer service in a positive, professional, and approachable manner.
- Excellent time management skills.
- Ability to work independently and with responsibility for initiating and completing tasks.
- Demonstrated ability to work effectively in a team and within other collaborative work situations.
- Ability to communicate effectively both orally and in writing, with a variety of professionals, administrators, and students.
- Proven track record to independently perform a wide range of event planning, programmatic, administrative, and technical responsibilities associated with this position
- Ability to thrive in an uncertain work environment, displaying optimism, flexibility, and adaptability
- Ability to occasionally work evenings and weekends in support of events.
- Bachelor’s degree from an accredited institution.
- 2+ years of relevant experience.
