Department Overview
Oregon Area Health Education Center (AHEC) is a partnership between OHSU and five Regional Centers. Oregon AHEC’s mission is to improve the health of individuals in rural and underserved areas through education and workforce development.
This position reports to the Program Manager in the AHEC Program Office, with indirect reporting to the AHEC Director and Finance Director, Rural Programs. This position is responsible for coordinating Oregon AHEC pathway programming and supporting regional centers with their own pathway initiatives, including communications and promotion both at the Program Office and in collaboration with the five regional centers. Pathway programming supports high school students exploring healthcare careers so previous experience with this age group is preferred. This position coordinates all pathway activities across the AHEC system, including managing any new pathway initiatives or grants, coordinate and improve reporting and evaluation and leads monthly statewide coordinator meetings to support alignment, consistency and collaboration across all AHEC programs This role manages any grant awards aimed at pathway programming, including overseeing required reporting, and working with Program Office leadership and regional center staff to determine appropriate and effective uses of grant funding.
The Pathway Program Coordinator oversees administrative activities across the program to ensure a smooth flow of operations and services to students and regional partners. This includes playing a key role in the marketing and communications strategy for Oregon AHEC. Activities include maintaining quarterly newsletters, co-creating an annual report with the Program Manager, and creating a monthly newsletter for Center Directors (with content furnished by the Program Manager). This position also provides general administrative duties for the office, including ordering supplies, updating the website, and special projects as needed. This position requires occasional regional and statewide travel.
Function/Duties of Position
Plan and coordinate AHEC Program Office pathway programs and support regional center pathway programming
- Lead the coordination, development and communication of all AHEC pathway programming, including event management. Identify needed resources, gather input from educational partners, institutions and students.
- Serve as the lead coordinator for Oregon AHEC’s OHSU Experience Day Camps: develop agendas, manage logistics, collaborate with participating partners, communicate with students, promote camps to students and schools and oversee data management. Additionally, lead curriculum development in partnership with AHEC faculty, schools and health occupations educators to develop ongoing, relevant programming for the camps.
- Work collaboratively with Program Office leadership and regional center staff to determine the most effective and appropriate uses of the Oregon Health Authority Health Care Workforce Pathways Scholarship Award funds.
- Lead and facilitate monthly statewide Program Coordinator meetings to support alignment and share best practices across all regional centers and the Program Office.
Communications + advocacy
- Lead communications for the Program Office in partnership with the Program Manager, including promotional materials, press releases, newsletters, website content, social media, and other outreach.
- Lead legislative advocacy efforts for the Program Office in partnership with the Program Manager and support regional centers in coordinating local advocacy activities.
- Support regional centers with Pathway Programming by building connections through strategic outreach and relationship development.
- Serve as website senior editor, working with multiple staff to develop program pages for a cohesive website that aligns with other OHSU educational and rural missions. Make ongoing updates as needed.
- Update, modify and maintain AHEC webpage and links to regional center web pages, including content compliance with OHSU policies. Manage archival documents.
- This position must have worked with and have knowledge of Drupal and/or the ability to complete the OHSU Drupal training and apply skills directly upon completion of training.
- Compose and edit quarterly department newsletter and monthly Center Director newsletters
- Coordinate any policy or procedural changes from OHSU Web services and communicate updates to AHEC staff.
- Serve as Social Media Lead, recommend most effective use of social media platforms for AHEC program. Develop and update content.
AHEC Program Data Coordination
- Support the reporting process for the OHA HCWF Pathways Scholarship Award.
- Coordinate with regional centers to ensure they are collecting required data and documents for reporting to OHA for the OHA HCWF Pathways Scholarship Award.
- Distribute and build surveys in Qualtrics, Excel and other platforms.
- Attend evaluation team meetings and document; interface with evaluation team staff as needed.
General Program Coordination:
- Serve as lead organizer for annual statewide AHEC in-person conference.
- Serve as lead organizer for one to three in-person Center Director meetings each year and monthly virtual meetings. Advise on OHSU policy regarding travel and reimbursement.
- Serve as back-up ITG Network Contact
- Maintain equipment and materials and order supplies for immediate office utilizing computerized purchasing.

Required Qualifications
Four years of experience as an executive assistant, administrative analyst, researcher or administrative officer which included administrative duties, provision of technical assistance, or operations review. Two of the required years must have included administration or oversight of an on-going project or program;
A Bachelor's degree in Business Administration, Management, Public Administration or a closely related field may be substituted for up to two years of the required experience.
Note: there is no substitution for the two years of administrative experience.
Strong commitment to maintaining confidentiality and professionalism.
Experience working with high school students a plus.
Excellent oral and written communication skills.
Ability to demonstrate continual attention to detail in completing assigned tasks and projects from start to finish.
Manage multiple projects on various timelines, work independently and proactively.
Proficiency in Microsoft Office Suite.
Ability to learn desktop and web based programs such as Qualtrics, OneDrive and Drupal.
Experience analyzing information and problem solving.
Ability to obtain CITI certification within 90 days of employment.

Preferred Qualifications
- Bachelor’s Degree
- 2-5 years program support or special projects experience supporting faculty and students in academic setting.
- Experience working in academic medicine.
- Familiarity with rural communities and health programs.
- Ability to effectively work and communicate with individuals from different cultural backgrounds and diverse populations.
- Familiarity with course and program format and delivery modes and manage online content.
- Specific experience with social media platforms, Sakai, Oracle, E-Value, and Adobe Suite preferred.
Additional Details
Work schedule is Monday-Friday, occasional early arrival for orientation and debriefing; work location is South Waterfront Campus, office cubicle location. Telework is possible, contingent on meeting appropriate factors. Must be comfortable working independently. Occasional statewide travel required.
